We are currently seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative and operational support to ensure the smooth day-to-day functioning of the office.
Position Summary
The Administrative Assistant will provide essential administrative support across a wide range of office functions, including document preparation, records management, billing administration, meeting coordination, and office operations. The successful candidate will play a vital role in maintaining efficient workflows while delivering high-quality administrative support to internal teams.
This position is ideal for an organized professional with excellent communication skills, strong attention to detail, and the ability to manage multiple administrative responsibilities in a fast-paced environment.
Key Responsibilities
Administrative Support
- Prepare, edit, and distribute business correspondence, reports, presentations, and other documentation.
- Perform general office administrative duties to support daily business operations.
- Maintain and organize electronic and physical filing systems.
- Manage photocopying, scanning, printing, and document distribution.
- Ensure accurate document management and record retention.
Records & Documentation Management
- Maintain and monitor suspense files to ensure timely follow-up on outstanding items.
- Keep departmental records accurate, current, and well-organized.
- Update and maintain office manuals, policies, procedures, and library materials.
- Ensure confidential documents are handled securely and professionally.
Billing & Financial Administration
- Process invoices, billings, and related administrative financial documentation.
- Maintain accurate billing records and supporting documentation.
- Assist with routine financial administrative tasks as required.
- Support accurate recordkeeping for departmental expenses and transactions.
Office Coordination
- Provide backup telephone and front-office support when required.
- Record accurate minutes during meetings and distribute meeting notes to relevant stakeholders.
- Coordinate travel arrangements, including transportation, accommodation, and itineraries.
- Monitor office supply inventory and arrange timely procurement of required supplies.
- Support the smooth operation of daily office activities.
Administrative Reporting
- Maintain employee attendance and departmental administrative records.
- Generate routine administrative reports as required.
- Assist management with special projects and administrative assignments.
Qualifications & Experience
Applicants should possess:
- High School Diploma or equivalent qualification.
- A minimum of one (1) year of experience performing general office administrative duties.
- An equivalent combination of education and relevant work experience may be considered.
- Previous experience within an insurance company, insurance brokerage, or consulting firm will be an added advantage.
