JOB PURPOSE
The Warehouse Supervisor will be responsible for managing the day-to-day operations of the warehouse, including receiving, storage, stock control, order picking, packing, and dispatch.
The role will ensure that kitchen appliances, perfumes, stationery, and other inventory are received, stored, handled, and dispatched accurately, safely, and efficiently. The successful candidate will also supervise warehouse staff, maintain proper inventory records, and ensure that customer and internal orders are fulfilled within agreed timelines.
KEY RESPONSIBILITIES
1. Receiving & Inspection of Stock
- Supervise the receiving of incoming goods from local and international suppliers.
- Verify quantities received against purchase orders, delivery notes, and other relevant documents.
- Inspect received goods for visible damages, discrepancies, or quality issues.
- Ensure all received items are properly recorded and moved to their designated storage locations.
- Report shortages, excess quantities, damages, or other discrepancies to the relevant departments.
2. Warehouse Organization & Storage
- Organize warehouse space to ensure efficient and safe storage of inventory.
- Develop and maintain appropriate storage arrangements for fragile, high-value, and other specialized items.
- Ensure products are properly labelled, categorized, and easily accessible.
- Optimize warehouse space utilization while maintaining safe movement and working conditions.
- Maintain high standards of cleanliness, orderliness, and workplace safety within the warehouse.
3. Inventory & Stock Control
- Maintain accurate records of all stock received, stored, transferred, picked, and dispatched.
- Oversee regular stock counts and cycle-counting activities.
- Investigate and resolve stock variances and discrepancies.
- Monitor inventory levels and communicate potential shortages or excess stock to management.
- Ensure proper stock rotation and minimize losses arising from damage, misplacement, or poor handling.
- Maintain accurate inventory records using Excel and/or relevant inventory management systems.
4. Order Picking, Packing & Dispatch
- Coordinate the accurate picking of products based on approved customer or internal orders.
- Ensure picked items are checked against order documents before packing.
- Supervise the packing and preparation of goods for dispatch.
- Coordinate with logistics and delivery teams to ensure orders are dispatched according to schedule.
- Ensure products are properly packaged to minimize damage during transportation.
- Monitor order fulfilment and promptly escalate any delays or issues.
5. Team Supervision
- Supervise and coordinate the activities of Storekeepers, Pickers, Packers, Loaders, and other warehouse personnel.
- Prepare work schedules and allocate daily responsibilities to warehouse staff.
- Monitor employee attendance, productivity, discipline, and adherence to warehouse procedures.
- Provide guidance and on-the-job training to warehouse employees.
- Promote teamwork, accountability, and compliance with safety and operational standards.
6. Warehouse Safety & Compliance
- Ensure employees follow established warehouse safety procedures.
- Monitor the safe handling, movement, loading, and storage of products.
- Ensure appropriate precautions are taken when handling fragile or high-value products.
- Report safety hazards, incidents, damages, and operational risks to management.
- Support the implementation of policies and procedures designed to improve warehouse efficiency and safety.
7. Reporting & Documentation
- Prepare regular reports on stock levels, warehouse activities, order fulfilment, and inventory discrepancies.
- Maintain accurate warehouse documentation and records.
- Track key warehouse performance indicators such as stock accuracy, order fulfilment, picking accuracy, and dispatch timelines.
- Provide management with updates on warehouse challenges, operational risks, and improvement opportunities.
QUALIFICATIONS & EXPERIENCE
- HND or Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, Warehouse Management, or a related field.
- 3–5 years of relevant warehouse experience.
- At least 1–2 years of experience in a supervisory or team-leadership position.
- Experience managing warehouse operations involving consumer goods, retail products, appliances, or similar inventory will be an advantage.
- Practical knowledge of stock control, receiving, picking, packing, dispatch, and inventory management.
- Experience using Excel and inventory management systems.
