About the Role

We are seeking a highly organized, reliable, and tech-savvy Virtual Assistant to join our growing operations team. This is an excellent opportunity for an administrative professional who enjoys providing exceptional customer service, coordinating schedules, and supporting healthcare operations in a fully remote environment.

As a Virtual Assistant, you will play a key role in ensuring smooth day-to-day operations by managing inbound client communications, supporting caregiver scheduling, maintaining accurate Electronic Visit Verification (EVV) records, verifying client eligibility, and providing general administrative assistance.

The ideal candidate is an excellent communicator with strong attention to detail, outstanding organizational skills, and the ability to quickly learn healthcare scheduling and compliance systems.

Key Responsibilities

Phone & Customer Support

  • Professionally answer inbound calls from existing and prospective clients.
  • Respond to general enquiries regarding company services.
  • Route calls and messages to the appropriate departments or team members.
  • Deliver a friendly, professional, and customer-focused experience on every interaction.
  • Maintain accurate records of customer communications.

Scheduling Coordination

  • Support caregiver scheduling using the WellSky scheduling platform.
  • Coordinate and update caregiver assignments and shift schedules.
  • Monitor scheduling changes and assist with staffing adjustments.
  • Ensure scheduling information is accurately maintained within the system.

Electronic Visit Verification (EVV)

  • Review visit records within Authenticare, the state Electronic Visit Verification (EVV) system.
  • Correct missing activity codes and incomplete visit documentation.
  • Ensure visit records are completed accurately for billing purposes.
  • Maintain data integrity between WellSky and Authenticare systems.
  • Support compliance with Electronic Visit Verification requirements.

Staff Engagement Support

  • Utilize WellSky TeamEngage (Zingage) to support employee engagement initiatives.
  • Share company updates, announcements, and caregiver wellness resources.
  • Encourage participation in engagement and recognition activities.

Eligibility Verification

  • Verify client and member eligibility for services.
  • Confirm service authorizations and coverage status.
  • Maintain accurate eligibility records within internal systems.

Administrative Support

  • Provide general administrative support to the operations team.
  • Organize documents, maintain records, and update databases.
  • Assist with task follow-ups and operational coordination.
  • Support management with additional administrative responsibilities as required.

Qualifications

Applicants should possess:

  • Excellent written and verbal English communication skills.
  • Strong customer service and telephone communication skills.
  • Excellent organizational and time management abilities.
  • High level of attention to detail and accuracy.
  • Strong computer literacy with the ability to learn new software quickly.
  • Previous experience in administrative support, scheduling, customer service, or virtual assistance is preferred.
  • Experience within the healthcare or home care industry will be a strong advantage.
