Job Description

Job Summary 

Stock Control Officer is responsible for managing and controlling the inventory of mobile phones, accessories, and related products. The role ensures accurate stock records, monitors inventory movement, prevents losses, and maintains optimal stock levels to support sales and customer demand. The officer works closely with procurement, sales, warehouse, and finance teams to ensure efficient stock management and compliance with company policies. 

Key Responsibilities 

1. Inventory Management 

  1. Maintain accurate records of all mobile phone devices and it related accessories. 
  2. Monitor stock levels daily to ensure product availability. 
  3. Conduct regular stock counts and reconcile physical inventory with system records and Sales Executives. 
  4. Investigate and resolve inventory discrepancies promptly. 
  5. Track stock by model, brand, color, storage capacity, IMEI number, and serial number. 


2. Receiving Stock 

  1. Receive mobile phone devices and accessories from suppliers. 
  2. Verify deliveries against purchase orders and delivery notes. 
  3. Inspect products for damage, defects, or shortages. 
  4. Record IMEI numbers and serial numbers accurately. 
  5. Label and store products according to company standards. 


3. Stock Issuing 

  1. Issue products to retail stores, sales staff, or customers based on approved documentation. 
  2. Verify product details before dispatch. 
  3. Record all stock movements in the inventory management system. 
  4. Ensure correct IMEI numbers are assigned to invoices and customers. 

4. IMEI and Serial Number Management 

  1. Maintain accurate records of every device’s IMEI and serial number. 
  2. Track devices from receipt to sale. 
  3. Prevent duplicate or incorrect IMEI registrations. 
  4. Assist in tracing lost or stolen devices. 

5. Inventory Reconciliation 

  1. Perform daily, weekly, monthly, and annual stock reconciliations. 
  2. Compare physical inventory with system records. 
  3. Investigate shortages, overages, and damaged stock. 
  4. Prepare reconciliation reports for management. 

6. Stock Monitoring 

  1. Monitor fast-moving and slow-moving products. 
  2. Identify obsolete or discontinued phone models. 
  3. Recommend stock replenishment based on sales trends. 
  4. Ensure minimum and maximum stock levels are maintained. 

7. Warehouse Management  

Management

  1. Organize products by brand, model, storage capacity, and color. 
  2. Maintain a clean, secure, and well-arranged storage area. 
  3. Ensure proper handling of high-value electronic products. 
  4. Follow safety and security procedures for inventory storage. 

8. Loss Prevention 

  1. Monitor inventory to prevent theft, fraud. 
  2. Report suspicious inventory activities. 
  3. Ensure secure storage of high-value mobile devices. 
  4. Support internal audits and investigations. 

9. Reporting 

Prepare and submit: 

  1. Daily stock reports 
  2. Weekly inventory reports 
  3. Monthly stock reconciliation reports 
  4. IMEI tracking reports 
  5. Stock movement reports 
  6. Sales and inventory reports 
  7. Damaged goods reports 
  8. Slow-moving stock reports 
  9. Stock valuation reports 

10. System Management 

  1. Update inventory records using inventory management software. 
  2. Process stock transfers between warehouses and retail branches. 
  3. Generate inventory reports. 
  4. Ensure data accuracy within the inventory system. 

11. Coordination 

• Work closely with:

  5. Service and Repair Center 
  6. Retail Store Managers 

Required Qualifications 

• Diploma or Bachelor’s degree in: 

  1. Supply Chain Management

  6. Warehouse Management

Daily Duties 

  1. Verify and receive new mobile phone shipments. 
  2. Record IMEI and serial numbers in the inventory system. 
  3. Update stock records after every receipt, transfer, or sale. 
  4. Conduct spot checks and reconcile inventory. 
  5. Prepare daily stock movement reports. 
  6. Issue products to stores or customers with proper documentation. 
  7. Monitor stock levels and notify procurement when reorder points are reached. 
  8. Secure high-value devices and investigate discrepancies. 
  9. Coordinate with sales and warehouse teams to ensure timely product availability.
