We are looking for a proactive and organized Remote Receptionist to do Outbound Call & Client Communications Coordinator to support our outreach and client communication efforts. This role focuses on making high-volume outbound calls to identify and connect with prospective architects and designers, with the goal of setting meetings for our team.
In addition to outbound calling, the role will gradually expand to managing incoming communications across multiple platforms including phone, email, and social media.
This position requires someone who is confident on the phone, organized with follow-ups, and comfortable managing a high volume of daily communication.
Key Responsibilities
Outbound Prospecting
- Make 50–100+ outbound calls per day using Primecall
- Reach out to architects and designers to introduce our services
- Identify potential prospects and schedule meetings for the sales team
- Maintain accurate notes and call outcomes in the system
Incoming Communication Management (Future Responsibility)
- Answer incoming phone calls
- Respond to messages from:
- Yelp
- Ensure all inquiries are acknowledged and routed appropriately
Calendar & Email Coordination
- Schedule meetings for the team
- Manage and update calendars
- Send follow-up emails and responses to prospects
- Track communications and maintain organized records
Requirements
- Excellent verbal and written communication skills
- Comfortable making high-volume outbound calls
- Confident speaking with professionals such as architects and designers
- Strong organizational and multitasking skills
- Ability to manage multiple communication channels
- Reliable internet connection and quiet work environment (if remote)
- Experience with CRM, call systems, or scheduling tools is a plus
