KEY ACCOUNTABILITIES & RESPONSIBILITIES

1. Project Initiation, Planning and Execution
Project Planning and Management functions play a critical role in ensuring that our facilities and infrastructure are developed and maintained in a safe, efficient, and cost-effective manner.
• Develop project schedules using scheduling software/solution (e.g., Microsoft Project, Primavera)
• Assist in the creation and development of Project Life Cycle, Policies and Procedures
• Support the project management team in identifying project milestones, dependencies, and critical paths
• Gather and analyze data to provide insights on project status and potential schedule risks
• Coordinate with team members to ensure timely updates to project schedules
• Participate in project meetings and document discussions and action items
• Help in preparing reports and presentations for project stakeholders
• Contribute to continuous improvement efforts in project scheduling processes
• Develop schedule reporting procedures and systems
• collaborating with project managers to create an effective project schedule
• Calculating the variance between the planned and actual schedule
• Develop schedule-efficient solutions to implement changes
• Collaborating with project managers to create effective budgets
• Collaborate with the project manager in developing and adjusting budgets
• Monitor and analyze project costs in the project life cycle
• Collaborate with the project manager to help them meet budgeting goals
• Research to find opportunities to reduce expenses
• Evaluate project requirements to provide vital financial information
• Assist the project manager in communicating with suppliers to negotiate material costs
• Assist the project manager in optimizing decommissioning procedures to minimize losses
• Develop financial reporting procedures and systems
• Calculating the variance between the plan cost and actual cost
• Investigate unprofitable variances and losses
• Develop cost-efficient solutions to implement changes

2. Risk Management
• Assist the project manager in managing unexpected delays, resource conflicts, scope changes, or unforeseen dependencies.
• Assist the project manager in managing, identifying, analyzing, and prioritizing potential risks that can impact the project schedule
• Ensure accuracy of project schedules and perform version control
• Coordinate project schedules, tasks, meeting updates, and efficient distribution of reports
• Prepare, implement, and monitor scopes of work using Work Breakdown Structure (WBS) for control and integrity
• Monitor projects’ progress, including identifying critical activities and reviewing forecasts and progress achieved to date
• Maintain project risk register to ensure that risks are effectively managed to minimize their impact on schedule, scope, and budget of projects
• Track baselines, perform what-if analysis, and develop contingency plans
• Developing conceptual models for Business Capability traceability matrix to explain processes to all levels of users
• Perform coordination of cross-functional departments to identify project issues, monitor action items, and work with the project manager to ensure resolution.
• Conducting historical analysis of similar projects and provide valuable insights into potential cost risks.
• Engaging subject matter experts to identify risks and uncover potential cost risks that may not be apparent to the project team
• Performing risk workshops and brainstorming sessions together with project team members and stakeholders to collectively identify potential cost risks.
• Using risk checklists and templates
• Risk checklists and templates provide a structured approach to cost risk identification, management, and control
• Assess the Probability-Impact Matrix of a risk occurring and the potential impact it has on project costs.
• Develop a sensitivity analysis in collaboration with the project managers to identify the risks and analyze how changes in specific variables affect project outcomes.

3. Reporting and Stakeholder Management
• Assist the project manager in writing reports and presenting information to the PM and key stakeholders
• Assist the project manager in monitoring project progress, tracking key milestones, and communicating project status updates to stakeholders and senior management.
• Assist the project manager in conducting regular project meetings, provide clear agendas, facilitate discussions, and ensure that action items are tracked and resolved.
• Collaborate closely with cross-functional teams, including design and quality assurance, to ensure seamless project integration.
• Assist the project manager in developing standardized reporting tools to be leveraged at the project and portfolio level.
• Assist the project manager in communicating the goals and performance of the portfolio to leadership in a regularly scheduled report.

4. Develop Project Policies and Process
• Assist the project manager in ensuring that project management tools are properly set up, regularly maintained, and used effectively by all team members.
• Assist the project manager in developing and customizing templates to meet specific project needs while ensuring they align with overall organizational standards.
• Assist the project manager to ensure team members understand how to use the templates and that they are consistently applied across all projects.
• Assist the project manager to ensure all projects comply with internal policies, external regulations, and industry standards (e.g., data security, procurement, risk management).
• Assist the project manager in monitoring project activities to ensure compliance with established processes and taking corrective actions if necessary.
• Assist the project manager in ensuring stakeholders are aware of tools, templates, policies, and processes, and how they affect the project.

Working Experience and Educational Qualifications
• Bachelor’s degree in engineering, Project management, and or a related field
• Project Management Professional (PMP) or equivalent certification will be an added advantage.

Experience
• Minimum of five (5) years of experience in project scheduling/cost management or related field
• Basic understanding of project management principles and methodologies
• Proficient in Microsoft Office Suite, particularly Excel & MS Project
• Strong organizational skills with attention to detail
• Excellent verbal and written communication skills
• Be familiar with WAPCo’s procedures and standards.
