Job Title: Office Assistant (PA)

Department/Programme: Mastercard Foundation Accelerating Impact for Young Women (AIM) in Partnership with BRAC
Reporting To: Senior Operations Officer
Location: Accra, Ghana
Employment Type: Full-time

Background and Purpose

BRAC International is implementing the Mastercard Foundation Accelerating Impact for Young Women (AIM) Programme, a nine-year initiative (2021–2030) aimed at equipping 2 million adolescent girls and young women (AGYW) with entrepreneurship, employability, and life skills. The programme operates in seven African countries: Sierra Leone, Liberia, Uganda, Tanzania, Rwanda, Ghana, and Kenya.

Based on age, needs, and circumstances, beneficiaries are supported through either an education pathway or a livelihood pathway.

The Office Assistant (PA) will provide effective, efficient, and responsive administrative support to ensure smooth day-to-day operations of the country office.

Key Responsibilities

Office Assistance & Administrative Support

  • Facilitate effective communication with internal departments and external stakeholders
  • Receive, record, and distribute incoming and outgoing documents
  • Provide administrative support such as photocopying, filing, scanning, and support for bidding processes
  • Support travel and logistics arrangements for staff and visitors
  • Manage reception duties, including welcoming visitors and coordinating appointments
  • Maintain professionalism, courtesy, and respect in interactions with staff, visitors, and partners
  • Promote a positive and collaborative office environment
  • Ensure office equipment and materials are properly maintained in collaboration with the supervisor
  • Coordinate with cleaning service providers to maintain a clean and hygienic office environment
  • Perform any other duties as assigned by the supervisor

Safeguarding Responsibilities

  • Ensure the safety and well-being of team members by preventing harm, abuse, neglect, harassment, and exploitation
  • Promote and uphold BRAC’s safeguarding policies and standards
  • Act as a resource for safeguarding guidance and implementation
  • Follow safeguarding reporting procedures and encourage others to report any incidents

Required Qualifications & Experience

Education

  • Minimum of a Diploma in Business Administration or a related field

Experience

  • At least 2 years’ experience working in an office or administrative role

Skills & Competencies

  • Strong interpersonal and communication skills
  • Ability to work collaboratively in a team environment
  • High level of motivation, adaptability, and willingness to learn
  • Good organizational and time management skills
  • Basic computer proficiency, including Microsoft Office Suite
  • Ability to remain calm and flexible under pressure
  • Cultural sensitivity and awareness
