As part of our commitment to excellence, we are seeking a highly organized, disciplined, and detail-oriented Hostel Administrator to oversee the management and operations of our hostel facility in Koforidua.
This role is ideal for a property management professional with a background in Estate Management who is passionate about facility administration, tenant satisfaction, asset preservation, and operational excellence.
Position Summary
The Hostel Administrator will be responsible for the day-to-day management of hostel operations, ensuring a safe, comfortable, and well-maintained living environment for residents while maximizing occupancy rates and protecting the long-term value of the property.
The successful candidate will oversee facility maintenance, tenant relations, financial administration, regulatory compliance, and operational planning to ensure the hostel operates efficiently and professionally.
Key Responsibilities
Facility Management & Operations
- Oversee the daily operations and administration of the hostel facility.
- Ensure all hostel facilities, utilities, and common areas are properly maintained and functioning efficiently.
- Coordinate preventive and corrective maintenance activities.
- Supervise contractors, maintenance personnel, cleaners, and service providers.
- Conduct regular facility inspections to identify maintenance needs and operational improvements.
- Monitor utility consumption and ensure efficient resource utilization.
Tenant & Resident Management
- Manage resident inquiries, applications, admissions, and room allocations.
- Coordinate tenant onboarding and orientation processes.
- Maintain accurate occupancy records and resident databases.
- Address resident complaints, concerns, and grievances professionally and promptly.
- Foster positive tenant relationships and ensure a high standard of customer service.
- Monitor compliance with hostel rules, policies, and occupancy agreements.
Property & Estate Management
- Apply estate management principles to protect and enhance the value of the property.
- Conduct periodic property inspections and prepare maintenance reports.
- Develop and implement preventive maintenance schedules.
- Monitor asset condition and recommend repairs, renovations, and improvements.
- Support long-term property management and sustainability initiatives.
Financial Administration
- Manage rent collection and ensure timely payment by residents.
- Prepare and maintain records of hostel income, expenses, and financial transactions.
- Coordinate utility billing and payment administration.
- Monitor operational expenses and support budget management activities.
- Prepare periodic financial and occupancy reports for management review.
- Follow up on outstanding payments and resolve billing discrepancies.
Health, Safety & Regulatory Compliance
- Ensure compliance with fire safety regulations, health standards, and local authority requirements.
- Implement workplace and residential safety procedures.
- Conduct routine safety inspections and risk assessments.
- Ensure emergency response procedures and safety equipment are maintained.
- Liaise with regulatory authorities, utility providers, and local government agencies when required.
Administrative & Reporting Functions
- Maintain accurate property, tenant, maintenance, and financial records.
- Prepare monthly operational, occupancy, and maintenance reports.
- Manage hostel documentation, contracts, agreements, and correspondence.
- Support management with operational planning and continuous improvement initiatives.
- Perform other duties as assigned to support hostel operations and organizational objectives.
Qualifications & Experience
Educational Requirements
- Bachelor’s Degree or Higher National Diploma (HND) in:
- Estate Management
- Land Economy
- Property Management
- Facilities Management
- Real Estate Management
- Or a related discipline
Experience
- Minimum of 2–3 years’ relevant experience in:
- Property Management
- Estate Administration
- Hostel Administration
- Facilities Management
- Residential Property Operations
- Experience managing student hostels, residential facilities, apartments, or commercial properties will be an added advantage.
