Position Overview

A reputable faith-based organization is seeking an experienced, highly organized, and results-oriented Finance & Administration Manager to provide strategic leadership and operational oversight of its finance and administrative functions.

The successful candidate will be responsible for managing financial operations, budgeting, reporting, reconciliations, office administration, governance support, stakeholder engagement, and team leadership. The role requires a professional with strong financial management expertise, administrative leadership capabilities, and a commitment to accountability, transparency, and operational excellence.

The position reports functionally to the Finance Sub-Committee and works closely with the Board, Head Pastor, Branch Pastors, Director of Finance, Branch Administrators, and external stakeholders.

Key Responsibilities

Strategy & Policy Implementation

  • Support the implementation of the organization’s strategic plans and financial objectives.
  • Assist in developing and reviewing financial policies, accounting procedures, internal controls, and Standard Operating Procedures (SOPs).
  • Ensure compliance with approved financial policies and governance requirements.
  • Support continuous improvement initiatives across the finance and administration functions.

Budgeting & Financial Planning

  • Prepare and manage the annual departmental budget.
  • Coordinate and consolidate budget submissions and financial reports from branches.
  • Monitor budget performance and provide recommendations for corrective action where necessary.
  • Support long-term financial planning and resource allocation initiatives.

General Ledger & Financial Management

  • Oversee the administration and maintenance of the General Ledger.
  • Monitor all system accounts, including debtors, creditors, cash books, and subsidiary ledgers.
  • Ensure accounting journals and financial records are maintained accurately and timely.
  • Investigate and resolve unusual balances and discrepancies in financial records.
  • Ensure adherence to accounting standards and internal control procedures.

Accounts Payable, Receivable & Payment Processing

  • Manage accounts payable and receivable processes.
  • Review and verify invoices, claims, advances, payroll inputs, and payment requests.
  • Ensure all financial transactions comply with approved policies and procedures.
  • Approve payments within delegated authority limits.
  • Ensure timely remittance of statutory obligations including:
    • PAYE
    • SSNIT Contributions
    • Withholding Taxes
    • Other Regulatory Obligations
  • Monitor branch transfers and ensure compliance with organizational policies.

Reconciliation & Financial Controls

  • Supervise monthly bank reconciliations for Head Office and branch accounts.
  • Ensure regular reconciliation of all balance sheet accounts.
  • Strengthen internal controls and ensure compliance with financial procedures.
  • Identify and mitigate financial risks.

Financial Reporting & Analysis

  • Prepare monthly, quarterly, and annual financial reports.
  • Generate management reports to support strategic decision-making.
  • Prepare Trial Balances and supporting schedules.
  • Ensure monthly reports are finalized and submitted by the 7th day of each month.
  • Maintain accurate financial and non-financial records for reporting and analysis purposes.

Stakeholder Relationship Management

  • Maintain productive relationships with:
    • Auditors
    • Regulatory Authorities
    • Financial Institutions
    • Service Providers
    • Government Agencies
  • Serve as a key liaison on financial and administrative matters.
  • Coordinate audit activities and ensure prompt resolution of audit findings.

Office Administration & Operations

  • Oversee daily administrative operations and ensure efficient office management.
  • Develop and implement administrative systems, policies, and procedures.
  • Manage office assets, records, facilities, and administrative budgets.
  • Supervise administrative staff and volunteers.
  • Coordinate procurement and vendor management activities.
  • Ensure adequate office supplies and operational support services are available.
  • Organize meetings, workshops, seminars, conferences, and other organizational events.

Church Board & Governance Support

  • Provide administrative support to the Board and its committees.
  • Assist in preparing Board meeting agendas and supporting documentation.
  • Attend Board meetings and record minutes where required.
  • Track Board resolutions and action items.
  • Maintain governance records, Board policies, resolutions, and official documentation.
  • Coordinate annual meetings and special committee engagements.

Team Leadership & Employee Development

  • Supervise and support direct reports.
  • Conduct performance appraisals and provide coaching and mentoring.
  • Identify training and development needs for team members.
  • Foster a culture of accountability, teamwork, professionalism, and continuous improvement.

Qualifications & Experience

Educational Requirements

  • Bachelor’s Degree in Accounting, Finance, Commerce, Business Administration, or a related discipline.

Professional Qualifications

Membership of a recognized professional accounting body is highly desirable:

  • ICA Ghana
  • ACCA
  • CIMA
  • CPA
  • Equivalent Professional Qualification

Experience

  • Minimum of four (4) years’ relevant experience in Finance and Administration.
  • At least two (2) years in a senior finance, accounting, or administrative role.
  • Experience within a faith-based, nonprofit, or multi-branch organization will be an advantage.
