Job Description

Location:  Accra, Ghana

Our client, a reputable organization based in Accra, is seeking a highly organized, professional, and proactive Executive Secretary / Office Executive to provide administrative and executive support to senior management while ensuring the smooth and efficient running of office operations.

The ideal candidate will possess excellent communication, coordination, and stakeholder management skills, with the ability to handle confidential information, manage multiple priorities, and maintain effective relationships with internal and external stakeholders, including regulatory and government institutions.

Key Responsibilities

Executive Support

  • Provide comprehensive administrative and secretarial support to executive management.
  • Manage executives’ calendars, appointments, meetings, and travel arrangements.
  • Prepare meeting agendas, presentations, reports, minutes, and correspondence.
  • Screen and prioritize incoming communications, emails, and phone calls.
  • Draft, review, and distribute official letters, reports, and other business documents.
  • Maintain confidentiality of sensitive company and executive information.

Office Administration

  • Coordinate and oversee daily office operations to ensure efficiency and productivity.
  • Maintain office records, filing systems, and document management processes.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate internal meetings, workshops, and corporate events.
  • Ensure compliance with company administrative policies and procedures.

Stakeholder & Regulatory Liaison

  • Serve as a point of contact between the organization and external stakeholders.
  • Liaise with government agencies, regulatory authorities, industry bodies, and service providers as required.
  • Monitor and follow up on regulatory submissions, permits, licenses, and compliance requirements.
  • Assist in preparing documentation for regulatory and corporate compliance matters.
  • Build and maintain positive relationships with key stakeholders and partners.

Coordination & Reporting

  • Track action items and follow up on management directives.
  • Support the preparation of management reports and operational updates.
  • Coordinate cross-functional activities and facilitate communication across departments.
  • Assist with special projects and strategic initiatives assigned by management.

Qualifications & Requirements

  • Bachelor’s Degree in Business Administration, Management, Secretarial Studies, Public Administration, Corporate Affairs, or a related field.
  • Minimum of 2–5 years’ relevant experience in administration, executive assistance, office management, government liaison, corporate affairs, or a similar role.
  • Strong understanding of office administration and executive support functions.
  • Knowledge of Ghanaian regulatory, compliance, and government engagement processes will be an added advantage.
  • Excellent written and verbal communication skills.
  • Strong organizational, planning, and multitasking abilities.
  • High level of professionalism, discretion, and confidentiality.
  • Ability to work independently and under minimal supervision.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
