Job Description

The Administrative Secretary will be responsible for administrative and secretarial tasks in order to optimize workflow procedures in the office.


RESPONSIBILITIES

  1. Serve as the liaison between the company secretary and management.
  2. Keep the list of board members, volunteers, and partners up to date.
  3. Receive, draft, and forward letters and emails.
  4. Answer telephone calls and redirect them as necessary.
  5. Arrange travel and trips.
  6. Organize meetings and take minutes.
  7. Organize the filing of documents, records, and archiving.
  8. Prepare and distribute internal and external correspondence.
  9. Organize, create, and update employee, client, and partner files.
  10. Support and facilitate the drafting of regular reports.
  11. Manage the management team’s agenda (Director and Deputy Director) when required.
  12. Monitor office supply inventory and place appropriate orders.
  13. Provide reception cover when needed.
  14. Perform any other duties assigned by management.

  • Excellent writing skills in both French and English.
  • Responsiveness.
  • Ability to develop and maintain good relations with the public both by phone and in person.
  • Proficiency in office software/computing: spreadsheets, word processing, email, Internet in general.
  • Proven experience of at least 2 years as a secretary or administrative assistant.

EDUCATION:

  • BTS in Secretarial Studies.

TYPE OF CONTRACT:

  • 1-year renewable fixed-term contract, with potential to evolve into a permanent contract.

WORKING HOURS PER WEEK:

  • 40 hours.

CONTRACT START DATE:

  • Immediate.
