Job Description
The Administrative Secretary will be responsible for administrative and secretarial tasks in order to optimize workflow procedures in the office.
RESPONSIBILITIES
- Serve as the liaison between the company secretary and management.
- Keep the list of board members, volunteers, and partners up to date.
- Receive, draft, and forward letters and emails.
- Answer telephone calls and redirect them as necessary.
- Arrange travel and trips.
- Organize meetings and take minutes.
- Organize the filing of documents, records, and archiving.
- Prepare and distribute internal and external correspondence.
- Organize, create, and update employee, client, and partner files.
- Support and facilitate the drafting of regular reports.
- Manage the management team’s agenda (Director and Deputy Director) when required.
- Monitor office supply inventory and place appropriate orders.
- Provide reception cover when needed.
- Perform any other duties assigned by management.

- Proficiency in office software/computing: spreadsheets, word processing, email, Internet in general.
- Proven experience of at least 2 years as a secretary or administrative assistant.
EDUCATION:
- BTS in Secretarial Studies.
TYPE OF CONTRACT:
- 1-year renewable fixed-term contract, with potential to evolve into a permanent contract.
WORKING HOURS PER WEEK:
- 40 hours.
CONTRACT START DATE:
- Immediate.
