Job Description

The HR Certification Centre is seeking a highly organized, proactive, and detail-oriented Administrative Officer to support the efficient delivery of its administrative and operational activities.

The successful candidate will play an important role in coordinating day-to-day administration, supporting projects and events, and contributing to programmes such as Alumni Associations and Mentorship Programmes.

This position is ideal for an individual with strong administrative and project coordination skills who can manage multiple responsibilities while maintaining high standards of professionalism and attention to detail.

Key Responsibilities

The Administrative Officer will be responsible for providing effective administrative and operational support, including:

Administrative Support

  • Coordinate daily administrative activities to ensure the smooth running of the Centre.
  • Maintain accurate records, files, databases, and other administrative documents.
  • Prepare correspondence, reports, schedules, meeting documents, and other materials as required.
  • Coordinate meetings, appointments, communications, and follow-ups.
  • Support the implementation and monitoring of administrative procedures.
  • Ensure that assigned administrative tasks are completed accurately and within agreed timelines.

Project Coordination

  • Provide administrative and coordination support for ongoing projects and programmes.
  • Assist with project planning, scheduling, documentation, and follow-up activities.
  • Track project activities and support the preparation of progress reports.
  • Coordinate with internal and external stakeholders to facilitate the successful implementation of projects.
  • Identify administrative issues that may affect project delivery and escalate them appropriately.

Events & Programme Support

  • Support the planning and coordination of events, workshops, training programmes, and other Centre activities.
  • Assist with participant registration, communication, logistics, documentation, and post-event follow-up.
  • Support the effective coordination of Alumni Association activities and Mentorship Programmes.
  • Maintain relevant participant and programme records.

Stakeholder & Communication Support

  • Respond to enquiries and provide timely administrative support to participants, alumni, mentors, partners, and other stakeholders.
  • Maintain professional communication with internal and external stakeholders.
  • Follow up on outstanding actions, requests, and programme-related activities.
  • Support the Centre in maintaining positive relationships with its stakeholders.

Qualifications & Experience

Applicants should possess:

  • A Bachelor’s degree in Human Resources, Business Administration, Humanities, or a related discipline.
  • A minimum of 2–3 years of relevant experience in administration and project management.
  • Demonstrated ability to coordinate administrative activities and support projects.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple tasks and priorities effectively.
  • Good interpersonal and stakeholder-management skills.
  • Ability to work independently while also contributing effectively as part of a team.
