We are seeking a competent and dedicated Administrative Officer to support our operations and ensure the smooth running of administrative activities within our pharmaceutical organization.

Key Responsibilities
Documentation & Records Management
- Maintain and manage drug records, ensuring batch numbers, expiry dates, and regulatory documentation are accurately recorded and properly filed.
- Ensure all FDA-related documents are updated, organized, and readily accessible.
- Maintain both physical and electronic filing systems in compliance with quality standards.
Administrative & Office Support
- Provide comprehensive administrative support to the factory and office teams.
- Schedule meetings, prepare agendas, and accurately record minutes for management meetings.
- Coordinate office activities to ensure efficient day-to-day operations.
Correspondence & Communication
- Manage official correspondence and respond to enquiries from hospitals, distributors, regulatory agencies, and other stakeholders.
- Draft, review, and distribute letters, reports, and other administrative documents.
Office & Inventory Management
- Coordinate the procurement and management of office stationery and laboratory supplies.
- Monitor inventory levels and maintain adequate stock of office and laboratory materials.
Front Desk & Visitor Management
- Manage the front desk and serve as the first point of contact for visitors and clients.
- Welcome and coordinate visits by inspectors, clients, and other external stakeholders.
- Ensure visitors are properly attended to and directed in accordance with company procedures.
Qualifications & Experience
- HND or Bachelor’s Degree in Business Administration, Human Resource Management, or a related discipline.
- Minimum of 2 to 4 years’ relevant administrative experience, preferably within a pharmaceutical, healthcare, or manufacturing environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Strong filing, documentation, and records management skills.
- Experience in regulatory documentation and compliance will be an added advantage.
