Westsany Heavy Industry Ltd. is seeking an experienced, highly organized, and proactive Administrative Manager to oversee the company’s administrative functions and ensure the smooth and efficient running of daily operations.
The successful candidate will provide strategic leadership across office administration, facilities management, fleet operations, procurement support, expatriate administration, corporate services, security management, and government relations while ensuring compliance with company policies and statutory requirements.
Job Summary
The Administrative Manager will be responsible for planning, coordinating, and managing all administrative activities to support business operations. The role requires a strong leader who can improve operational efficiency, manage company resources effectively, oversee support services, and ensure a safe, productive, and well-organized working environment.

Key Responsibilities
Administration & Office Management
- Lead and oversee the company’s day-to-day administrative operations.
- Develop, implement, and continuously improve administrative policies, procedures, and systems.
- Ensure the effective management of office facilities, warehouses, and staff accommodation.
- Prepare departmental budgets and administrative reports for management.
- Monitor administrative expenditures and identify opportunities for cost optimization.
- Ensure efficient records management and proper documentation of administrative activities.
Facilities & Asset Management
- Oversee the maintenance of offices, buildings, utilities, furniture, equipment, and other company facilities.
- Maintain an accurate and up-to-date asset register.
- Coordinate office renovations, repairs, and workspace planning projects.
- Ensure company assets are properly utilized, maintained, and safeguarded.
Fleet & Logistics Management
- Manage company vehicles, drivers, fuel consumption, servicing, insurance, licensing, and maintenance schedules.
- Coordinate transportation and travel arrangements for staff, visitors, and business activities.
- Monitor fleet performance and implement cost-effective fleet management practices.
Procurement & Vendor Management
- Support the procurement of administrative goods, equipment, and services.
- Identify, evaluate, and negotiate with suppliers and service providers.
- Monitor vendor performance to ensure quality service delivery.
- Promote cost-effective purchasing while maintaining high service standards.
- Ensure procurement activities comply with company policies and procedures.
Security, Health, Safety & Environment (HSE)
- Supervise outsourced security personnel and ensure effective workplace security.
- Coordinate workplace inspections and emergency preparedness activities.
- Promote compliance with health, safety, and environmental standards.
- Support the implementation of workplace safety initiatives and risk management measures.
Staff Welfare & Corporate Services
- Coordinate employee accommodation and staff welfare initiatives.
- Manage office refreshments and other employee support services.
- Organize company meetings, official visits, conferences, and corporate events.
- Support initiatives that promote employee engagement and a positive workplace culture.
Qualifications
Applicants should possess:
- A Bachelor’s Degree in Business Administration, Public Administration, Management, Logistics, Procurement, Human Resource Management, or a related discipline.
- A Master’s Degree will be considered an added advantage.
Experience Requirements
The ideal candidate should have:
- A minimum of 7–10 years’ experience in administration or a related field.
- At least 3–5 years’ experience in a managerial or supervisory role.
- Previous experience working in a multinational organization will be an advantage.
- Experience within the mining, construction, engineering, or manufacturing industry is highly desirable.
