The company is seeking an Administrative Assistant to serve as the first point of contact for its freight forwarding operations in Accra. The ideal candidate will be professional,detail-oriented, and capable of providing exceptional customer service while supporting daily administrative tasks and functions in a fast-paced logistics environment.
RESPONSIBILITIES
Front Desk & Customer Service
- Serve as primary point of contact for clients, suppliers, and visitors.
- Answer and direct incoming calls professionally and efficiently.
- Greet and assist walk-in customers with inquiries about shipping services.
- Schedule appointments and maintain visitor logs.
- Handle customer complaints and escalate issues appropriately.
Administrative and HR Support
- Maintain and organize filing systems for administrative and staff documents.
- Assist with data entry, reports, and presentations.
- Manage staff databases and leave schedules.
- Support staff recruitment and training.
- Raise and follow up on requisitions with accounts for payment.
- Manage office supplies, inventory, and procurement.
- Assist with project updates and tracking.
General Office Management
- Manage office calendar and schedule meetings.
- Handle correspondence via email, phone, and post.
- Maintain confidential client information and company records.
- Support management with report preparation and presentations.
- Assist with compliance documentation for regulatory requirements.
Requirements
- Minimum HND/Bachelor’s degree in Business Administration, Logistics, or related field.
- 2–3 years’ experience in an administrative or customer service role, preferably in logistics/freight forwarding.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional telephone manner and customer service orientation.
- Attention to detail and accuracy in documentation.
- Ability to work under pressure and meet tight deadlines.
- Problem-solving skills and initiative.
- Professional appearance and demeanor.
