Job Summary
The Administrative Assistant will provide comprehensive administrative and operational support across various business functions to ensure the efficient management of office activities. The role requires someone who can multitask effectively, maintain confidentiality, coordinate internal processes, and support business operations with professionalism and attention to detail.
Key Responsibilities
The successful candidate will be responsible for:
- Preparing, compiling, reviewing, and submitting tender documents while representing the company during tender opening sessions when required.
- Providing day-to-day administrative support to ensure the efficient operation of the office.
- Coordinating office logistics, meetings, travel arrangements, and administrative schedules.
- Preparing reports, letters, correspondence, presentations, and other business documents.
- Maintaining accurate physical and electronic filing systems to ensure proper document management and easy retrieval of records.
- Supporting procurement activities by maintaining documentation and coordinating administrative processes.
- Assisting with operational projects and following up on assigned tasks to ensure timely completion.
- Managing office records, databases, and documentation while ensuring confidentiality and compliance with company policies.
- Responding professionally to enquiries from clients, suppliers, and internal stakeholders.
- Providing excellent customer service and serving as a reliable point of contact for administrative matters.
- Ensuring compliance with company administrative procedures, documentation standards, and confidentiality requirements.
- Performing any other administrative duties assigned by management.
Qualifications & Experience
Applicants should possess:
- A Bachelor’s Degree in Business Administration, Public Administration, Management, Office Management, Procurement & Supply Chain Management, Secretarial Studies, or a related discipline.
- Candidates with a Higher National Diploma (HND) and relevant work experience are also encouraged to apply.
- A minimum of two (2) years’ experience in an administrative, office support, or similar role.
Required Skills & Competencies

- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Experience using CRM software and other office productivity tools.
- Excellent organizational, planning, and time management skills.

- Excellent record management and documentation skills.
- Strong analytical and problem-solving abilities.
- Ability to prioritize multiple tasks and meet deadlines.
