Compensation: USD $1,500 – $2,500 per month

The movement is governed by a Global Council representing artists, activists, and movement builders worldwide, while the Movement Secretariat coordinates operational activities.
Position Overview
The Admin Coordinator will provide critical day-to-day administrative and operational support to the Movement Secretariat.
The role requires a highly organized and dependable professional capable of coordinating schedules, communications, documentation, logistics, and systems support across distributed international teams.
The successful candidate will be comfortable managing multiple priorities while collaborating across different time zones.

Reports To: Project Lead and Community & Partnerships Director (Recruitment in progress)

Key Responsibilities
Scheduling and Coordination
- Coordinate scheduling for Secretariat meetings, Global Council engagements, committee sessions, and external calls
- Manage calendars across multiple international time zones
- Coordinate logistics for virtual and in-person meetings and gatherings
- Track meeting action items and follow up on deliverables
- Maintain organized Secretariat calendar systems
Communications and Documentation
- Draft and manage internal and external correspondence
- Maintain filing systems for agreements, contracts, and organizational records
- Prepare meeting agendas, briefing packs, and notes
- Support development of presentations, reports, and communication materials
- Ensure effective information flow across the Secretariat
Travel and Event Logistics
- Coordinate travel arrangements and event logistics
- Support registrations, accommodations, and scheduling for leadership engagements
- Provide operational support for Secretariat and Global Council events
Systems and Platform Support
- Support administrative systems across Google Workspace, Slack, Zoom, and related platforms
- Maintain organized shared drives and folder structures
- Assist with technical coordination for meetings and events
Qualifications and Requirements
Required Qualifications
Candidates should demonstrate:
- Experience coordinating scheduling, logistics, correspondence, and contractor records within distributed organizations
- Strong organizational and multitasking skills
- High levels of discretion and professional judgment
- Excellent written and verbal English communication skills
- Proficiency with Google Workspace, Slack, Zoom, and project management tools
- Ability to work independently and manage recurring coordination responsibilities
- Commitment to Global Artivism’s mission and values
Experience gained through grassroots movements, activist collectives, community organizations, or informal leadership structures will be considered equally alongside formal employment experience.
Preferred Qualifications
Preference may be given to candidates with:
- Experience supporting senior leadership in international NGOs or civil society organizations
- Experience working across multicultural global teams and time zones
- Multilingual abilities relevant to Global South contexts
- Familiarity with arts, culture, activism, or movement-building sectors
Compensation and Work Arrangement
The selected contractor will receive a monthly contractor fee ranging from USD $1,500 to $2,500.
This is a remote independent contractor engagement managed through Global Artivism’s fiscal sponsorship structure.
Contractors maintain flexible schedules but are expected to participate in scheduled collaborative sessions and meetings across various time zones.
