About the Organisation

The Planned Parenthood Association of Ghana (PPAG) is a non-governmental, non-profit organisation established in 1967 and a proud affiliate of the International Planned Parenthood Federation (IPPF).

Over the years, PPAG has played a pivotal role in advancing Sexual and Reproductive Health and Rights (SRHR) in Ghana. The Association is recognized as a leading provider of comprehensive reproductive health services, particularly for young people and marginalized communities.

Through a rights-based approach, PPAG ensures access to accurate information and quality services that empower individuals to make informed reproductive health choices. Its operations span a nationwide network of clinics, youth centres, and community-based service delivery points.

Job Purpose

PPAG is seeking a results-oriented and committed professional to support finance, administrative, and procurement functions at its Sogakope facility. The successful candidate will ensure effective financial management, efficient administrative operations, and compliant procurement processes in line with organizational policies.

Reporting Lines

  • Direct Report: Facility Head
  • Indirect Report: Finance Manager; Procurement & Administration Manager (Head Office)

Key Responsibilities

Accounting & Finance

  • Process expenditure requests in line with approvals
  • Prepare monthly, quarterly, semi-annual, and annual financial reports
  • Ensure proper coding and entry of financial transactions into the accounting system
  • Maintain strong internal controls and report any irregularities
  • Monitor fund availability for programme implementation
  • Maintain and update the Fixed Asset Register
  • Manage and update cash books for all bank accounts
  • Prepare monthly bank reconciliation statements
  • Support the preparation of Annual Business Plans and Workplans
  • Manage facility stores including receiving, recording, storage, and issuance of goods and commodities
  • Conduct periodic stock counts and maintain accurate inventory records
  • Verify incoming goods and complete Goods Received Notes documentation

Administration

  • Provide administrative and secretarial support as required
  • Manage incoming and outgoing correspondence
  • Maintain proper filing systems (manual and electronic)
  • Support meetings, workshops, and training sessions (including budgeting and logistics)
  • Ensure effective communication flow between the facility and Head Office
  • Supervise office cleanliness and ensure efficient use of resources
  • Maintain updated office supplies inventory
  • Manage client data entry and records filing
  • Coordinate the use and maintenance of office vehicles

Procurement

  • Plan and coordinate procurement activities at the facility level
  • Develop and maintain a local supplier database aligned with national standards
  • Serve as Secretary to the Procurement Evaluation Committee
  • Implement effective sourcing strategies
  • Ensure procured goods meet required standards
  • Develop annual procurement plans for approval

Qualifications & Experience

  • HND in Accounting or a related field
  • Minimum of 2 years’ relevant work experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Experience with accounting software (knowledge of Accpac is an added advantage)

Additional Requirements

  • Must reside in Sogakope or be willing to relocate at own cost
  • Ability to work with minimal supervision
