Role Overview
The Executive Assistant serves as a trusted partner to the Director, providing high-level administrative, strategic, and operational support. This role goes beyond basic administrative tasks — it requires strong judgment, discretion, and the ability to anticipate needs, manage priorities, and ensure the Director’s office runs efficiently.
You will act as a central coordination point between the Director and internal/external stakeholders, ensuring smooth communication, timely execution of tasks, and alignment with business goals.
Key Responsibilities (Expanded)
1. Executive Support & Calendar Management
- Manage the Director’s daily schedule, including meetings, appointments, and travel arrangements.
- Prioritize and coordinate appointments to maximize productivity and time efficiency.
- Prepare agendas, briefing notes, and relevant documents ahead of meetings.
- Track action items and follow up to ensure timely completion.
2. Communication & Stakeholder Management
- Serve as the first point of contact on behalf of the Director.
- Draft, review, and respond to emails, reports, and official correspondence.
- Liaise with internal teams, clients, partners, and regulatory bodies professionally.
- Handle sensitive or confidential communication with discretion.
3. Administrative & Operational Coordination
- Organize meetings, board sessions, and executive events (including logistics and documentation).
- Maintain accurate records, files, and documentation systems.
- Support internal coordination across departments to ensure alignment on key projects.
- Assist in tracking project timelines and deliverables.
4. Strategic & Analytical Support
- Conduct research and compile reports to support decision-making.
- Prepare presentations, dashboards, and summaries for leadership review.
- Monitor key business updates and highlight critical issues to the Director.
- Assist in implementing strategic initiatives and special projects.
5. Confidentiality & Compliance
- Handle highly sensitive company information with professionalism and strict confidentiality.
- Ensure all documentation and processes comply with company policies and industry regulations (especially important in a pharmaceutical environment).
6. Problem-Solving & Decision Support
- Anticipate challenges and proactively provide solutions.
- Support the Director in making informed decisions by organizing relevant data and insights.
- Manage urgent issues efficiently, especially in high-pressure situations.
