Reports To: Operations Manager / Managing Director

Job Summary

The Ticketing and Visa Processing Officer will be responsible for managing airline reservations, ticket issuance, and visa application processes for clients. The role ensures accurate documentation, compliance with airline and embassy regulations, and the delivery of efficient, professional customer service to support the organization’s travel operations.

Key Responsibilities

Airline Ticketing & Reservations

  • Process flight reservations, ticket issuance, reissues, cancellations, and refunds using Global Distribution Systems (GDS) such as Amadeus, Sabre, or Galileo.
  • Provide clients with information on flight schedules, routes, fares, baggage policies, and travel requirements.
  • Compare available fares to secure the most cost-effective and suitable travel options for clients.
  • Monitor booking deadlines and ensure timely ticket issuance.
  • Manage group bookings and corporate travel arrangements.
  • Ensure compliance with airline policies and International Air Transport Association (IATA) regulations.
  • Maintain accurate records of all booking transactions.
  • Provide after-sales support, including itinerary changes, cancellations, and travel disruption management.

Visa Processing

  • Provide clients with accurate guidance on visa requirements for various destinations.
  • Assist clients in completing visa application forms correctly.
  • Compile, review, and verify supporting documents required for visa applications.
  • Schedule embassy appointments and coordinate biometric submissions where required.
  • Liaise with embassies, high commissions, and visa application centers regarding applications.
  • Track visa application status and keep clients informed of progress.
  • Ensure strict confidentiality and secure handling of client documents and personal information.
  • Stay updated on changing immigration policies and visa regulations.

Qualifications & Requirements

Education

  • Minimum of a Diploma or Bachelor’s Degree in Tourism, Hospitality Management, Business Administration, or a related field.
  • Professional certification in IATA/UFTAA ticketing is an added advantage.

Experience

  • Proven experience in ticketing and visa processing within a travel agency or travel management company.

Skills & Competencies

  • Proficiency in GDS systems such as Amadeus, Sabre, or Galileo.
  • Strong knowledge of international travel regulations and visa requirements.
  • Excellent communication and interpersonal skills.
  • Strong organizational and documentation management abilities.
  • High attention to detail and accuracy.
  • Ability to work effectively under pressure and meet deadlines.
  • Strong computer skills including Microsoft Office Suite and email systems.
