About the Role
A reputable healthcare organization is seeking a results-oriented Procurement & Supply Chain Manager to oversee procurement, inventory management, warehousing, distribution, and supply chain activities across its branches.
The successful candidate will be responsible for ensuring that essential medicines, medical supplies, consumables, and other operational materials are procured efficiently, stored appropriately, and distributed to branches on time. The role will also play an important part in maintaining accurate inventory records, minimizing stock losses, preventing stock-outs and overstocking, and ensuring that procurement activities comply with applicable quality and regulatory requirements.
Key Responsibilities
Procurement Planning & Management
- Develop and implement an annual procurement plan covering the organization’s branches and operational requirements.
- Coordinate procurement activities to ensure timely availability of medicines, medical consumables, and other required supplies.
- Work with relevant departments and branch teams to forecast demand and establish appropriate procurement priorities.
- Identify and maintain relationships with reliable and appropriately certified suppliers.
- Monitor supplier performance, delivery schedules, product quality, and adherence to agreed requirements.
- Ensure procurement activities are conducted efficiently and in accordance with organizational procedures.
Inventory & Stock Management
- Monitor stock levels across all branches and implement measures to minimize stock-outs, excess inventory, and avoidable wastage.
- Establish appropriate inventory control procedures and ensure they are consistently followed.
- Supervise central store operations and ensure proper receipt, storage, handling, and issuance of stock.
- Ensure appropriate application of FIFO/FEFO principles where applicable.
- Monitor expiry dates and stock movement to minimize losses and wastage.
- Conduct monthly stock counts and reconcile physical inventory against system records.
- Investigate stock discrepancies and prepare stock variance reports for management review.
- Maintain accurate and up-to-date inventory records.
Warehousing & Distribution
- Supervise the day-to-day operations of the central store.
- Ensure that medicines, medical supplies, consumables, and other stock are stored under appropriate conditions.
- Ensure proper cold-chain procedures are maintained for products requiring temperature-controlled storage.
- Coordinate the distribution and transportation of supplies to all branches.
- Monitor branch replenishment requirements and ensure timely deliveries.
- Maintain appropriate documentation for goods received, issued, transferred, and delivered.
Regulatory & Quality Compliance
- Ensure that all procured medicines, drugs, and medical consumables meet applicable regulatory and quality requirements.
- Ensure that pharmaceutical products are sourced from certified and authorized suppliers.
- Verify that procured drugs and relevant products have the necessary approval from the Food and Drugs Authority (FDA) or other applicable regulatory bodies.
- Maintain proper procurement and inventory documentation to support internal controls, audits, and regulatory reviews.
- Escalate any quality, supplier, compliance, or inventory concerns to management promptly.
Reporting & Analysis
- Prepare regular procurement, inventory, stock movement, and supply chain reports.
- Analyse stock consumption and movement trends to support procurement decisions.
- Monitor procurement expenditure against approved plans and budgets.
- Provide management with recommendations on stock optimization, supplier performance, cost management, and supply chain efficiency.
- Maintain accurate records and documentation for all procurement and inventory activities.
Process Improvement
- Review existing procurement and supply chain processes and identify opportunities for improvement.
- Introduce practical measures to improve efficiency, cost effectiveness, inventory accuracy, and service delivery.
- Support the implementation and effective use of inventory management and procurement software.
- Promote accountability, transparency, and effective controls throughout the procurement and supply chain function.
Qualifications & Experience
Applicants should meet the following requirements:
- Bachelor’s degree in Procurement & Supply Chain Management, Logistics, or a related discipline.
- At least 1–3 years of relevant experience in procurement and supply chain management.
- Experience in a healthcare, pharmaceutical, hospital, or medical supplies environment will be an advantage.
- Practical experience in inventory and stock management.
- Experience using inventory management, procurement, ERP, or related software.
- Good understanding of procurement processes, warehousing, stock control, and distribution.
- Knowledge of pharmaceutical and medical-supply procurement requirements will be an added advantage.

Remuneration
The successful candidate will be remunerated in accordance with the Single Spine Salary Structure – Grade 16H.
