About the Role
A fast-growing company specializing in creator management, brand partnerships, and business consulting is seeking a proactive, reliable, and highly organized Personal Assistant to support the Managing Director.
The successful candidate will provide high-level administrative and operational support, helping the Managing Director stay organized, manage competing priorities, maintain effective communication, and ensure the smooth running of day-to-day activities.
This is a dynamic opportunity for an individual who is comfortable working remotely, can take initiative, and is capable of handling a variety of administrative responsibilities with professionalism, discretion, and attention to detail.
The ideal candidate will be a strong communicator, an excellent organizer, and someone who can anticipate needs, manage deadlines, and find practical solutions to administrative challenges.
Key Responsibilities
Executive & Administrative Support
- Provide day-to-day administrative and executive support to the Managing Director.
- Manage calendars, appointments, meetings, and schedules efficiently.
- Coordinate internal and external meetings and ensure that relevant information is available ahead of appointments.
- Monitor schedules and help the Managing Director prioritize important tasks and commitments.
- Handle routine administrative duties and follow up on outstanding matters.
Email & Communication Management
- Manage and organize email correspondence and administrative communications.
- Draft, respond to, and follow up on correspondence where required.
- Ensure important messages and requests are properly prioritized and addressed promptly.
- Liaise professionally with clients, business partners, service providers, and other external stakeholders.
- Maintain a professional and approachable communication style at all times.
Travel & Logistics Coordination
- Coordinate travel arrangements for the Managing Director and, where required, other team members.
- Assist with flight and accommodation bookings.
- Prepare and organize travel itineraries and relevant documentation.
- Coordinate logistical arrangements associated with meetings, events, and business activities.
Operations & Task Coordination
- Support the smooth day-to-day operation of the business.
- Track important tasks, deadlines, appointments, and follow-up actions.
- Assist in prioritizing competing responsibilities and ensuring key deadlines are met.
- Identify potential administrative issues and take proactive steps to resolve them.
- Support the Managing Director with special projects and ad-hoc assignments.
Document & Presentation Support
- Prepare, organize, and maintain business documents and administrative records.
- Assist with the preparation of reports, presentations, meeting notes, and other materials.
- Ensure documents are properly organized, accurate, and professionally presented.
- Maintain appropriate confidentiality when handling business and client information.
Client & Stakeholder Support
- Assist in maintaining strong relationships with clients, creators, business partners, and other stakeholders.
- Support communication and follow-up with clients and partners.
- Help ensure that important client-related requests and administrative matters are handled promptly.
- Represent the Managing Director and the company professionally in communications and interactions.
Requirements
The ideal candidate should possess:
- Fluency in English, both written and spoken, with strong communication skills.
- Excellent organizational and time-management abilities.
- Strong attention to detail and accuracy.
- A proactive, dependable, and solution-oriented approach to work.
- Ability to manage multiple tasks and changing priorities effectively.
- Ability to work independently with minimal supervision.
- Strong interpersonal skills and a professional approach to dealing with clients and stakeholders.
- Previous experience as a Personal Assistant, Executive Assistant, Administrative Assistant, or in a similar role will be an advantage.
- Ability to work effectively in a fully remote environment.
- High levels of professionalism, discretion, and confidentiality.
