As the firm continues to grow, it is seeking a highly organized and proactive Virtual Executive Assistant to support its leadership team and help drive operational excellence.
About the Role
The Virtual Executive Assistant plays a critical role in supporting senior leadership by providing high-level executive and administrative assistance. Working remotely, you will help streamline daily operations, coordinate schedules, manage communications, and improve internal processes, allowing leaders to focus on serving clients and growing the business.
This position is ideal for an experienced administrative professional who thrives in a fast-paced virtual environment, enjoys solving problems, and is passionate about helping teams operate efficiently.
The role begins as a part-time position (15–20 hours per week) with the potential to transition into a full-time opportunity as the organization continues to expand.
Key Responsibilities
As the Virtual Executive Assistant, you will:
- Manage executive calendars, coordinate appointments, and schedule meetings across multiple stakeholders.
- Organize meetings, prepare agendas, record meeting minutes, and track action items to ensure timely follow-up.
- Monitor and manage executive email inboxes, prioritize communications, and respond where appropriate.
- Professionally answer, screen, and route incoming phone calls.
- Coordinate the onboarding process for new employees and clients.
- Maintain accurate and well-organized digital files, records, and documentation.
- Develop, document, and improve administrative processes and internal workflows.
- Manage recurring administrative tasks, deadlines, and operational activities.
- Coordinate virtual and in-person team meetings, retreats, and company events.
- Provide administrative support for strategic initiatives and special projects.
- Conduct research and recommend process improvements that enhance efficiency.
- Communicate proactively with clients, leadership, and team members to ensure seamless collaboration.
- Perform additional executive support duties as assigned.
Qualifications & Experience
To be successful in this role, you should possess:
- Minimum of 2 years’ experience as an Executive Assistant, Administrative Assistant, Virtual Assistant, or in a similar administrative support role.
- Previous experience supporting senior executives or leadership teams is highly preferred.
- Bachelor’s degree is preferred but not mandatory.
- Experience working in a remote or virtual environment is an advantage.
