The School of International Futures (SOIF) is seeking a highly organized, proactive, and people-focused Events & Programme Coordinator to support the planning, coordination, and delivery of impactful events and learning programmes across its global portfolio.

This is an exciting opportunity for an experienced event professional who enjoys bringing people together, coordinating complex logistics, and creating exceptional participant experiences. Working as part of SOIF’s Advisory and Services team, you will play a vital role in delivering international events, executive learning programmes, retreats, workshops, and client engagements that help governments, organizations, and communities strengthen long-term thinking and navigate uncertainty.

Position Overview

The Events & Programme Coordinator will oversee the operational planning and successful delivery of a diverse portfolio of events and learning programmes. From venue sourcing and travel coordination to participant engagement and post-event evaluation, you will ensure every event is delivered professionally and efficiently.

You will work closely with project teams, facilitators, faculty members, clients, partners, and participants while serving as a trusted point of contact throughout the event lifecycle.

Key Responsibilities

Event Planning & Logistics

  • Coordinate the planning and administration of SOIF’s international events, workshops, retreats, and training programmes.
  • Organize venues, accommodation, transportation, catering, visas, and travel arrangements for participants, facilitators, and guest speakers.
  • Support the delivery of SOIF’s flagship annual foresight retreat and other major global events.
  • Manage participant registration and maintain accurate event records.
  • Liaise with venues, suppliers, and service providers to ensure seamless event delivery.
  • Create welcoming, engaging, and inclusive participant experiences.

Event Delivery & Programme Support

  • Provide virtual and on-site operational support during events.
  • Coordinate online learning programmes, including participant onboarding, communications, scheduling, and platform management.
  • Support facilitators in delivering engaging and effective learning experiences.
  • Ensure all technical, logistical, and operational requirements are in place before and during events.
  • Monitor event quality and resolve operational issues quickly and professionally.

Programme Coordination

  • Support the delivery of international projects and learning initiatives across multiple countries.
  • Assist with programme administration, reporting, documentation, and project tracking.
  • Maintain accurate project records and ensure documentation remains current.
  • Identify opportunities to improve administrative systems, workflows, and project coordination processes.
  • Contribute to knowledge sharing and continuous improvement across the organization.

Stakeholder & Faculty Coordination

  • Act as the primary administrative contact for faculty members, participants, partners, and project teams.
  • Coordinate schedules and communications between multiple stakeholders.
  • Respond promptly to participant enquiries and provide exceptional customer service.
  • Draft professional communications, invitations, updates, and outreach materials.
  • Build positive relationships that enhance participant and stakeholder experiences.

Required Qualifications

The successful candidate should possess:

  • Demonstrated experience in event planning, coordination, and logistics.
  • Strong experience managing venues, travel arrangements, participant registration, and event operations.
  • Excellent organizational and project coordination skills.
  • Outstanding written and verbal communication skills.
  • Experience coordinating multiple projects simultaneously.
  • Strong interpersonal skills with the ability to work effectively across cultures and diverse stakeholder groups.
  • Experience managing event budgets and supplier relationships.
  • Ability and willingness to travel internationally when required.
  • Strong problem-solving skills and the ability to remain calm under pressure.
