Job Description

Location: Remote (Preference for candidates based within the GMT-4 to GMT+1 time zones)

Employment Type: Full-Time | Permanent

Working Hours: 40 hours per week

Reports To: Director of Development and Impact

Salary: USD $39,000 – $49,000 per annum (for Latin America-based locations). Geographic salary adjustments will apply based on the country of employment.

About the Role

Global Methane Hub is seeking a highly organized, proactive, and detail-oriented Administrative Assistant to provide comprehensive administrative, logistical, and operational support to three senior leaders:

  • Director of Development and Impact (DDI)
  • Chief of Staff and Operations (COSO)
  • Chief Financial and Administrative Officer (CFAO)

Reporting directly to the Director of Development and Impact, you will play an essential role in ensuring the smooth coordination of executive activities, managing complex schedules, facilitating communication across international teams, coordinating travel, supporting meetings and events, and helping maintain efficient operational systems.

Key Responsibilities

Executive & Administrative Support

  • Provide comprehensive administrative and operational support to three senior executives.
  • Coordinate day-to-day executive activities and departmental administrative tasks.
  • Liaise effectively with internal teams, consultants, vendors, partners, and external stakeholders.
  • Assist with maintaining organized digital records and documentation across organizational platforms.
  • Maintain accurate stakeholder databases and contact directories.

Calendar & Schedule Management

  • Manage complex executive calendars across multiple international time zones.
  • Schedule meetings, appointments, and virtual conferences while proactively resolving scheduling conflicts.
  • Coordinate meeting invitations and ensure executives are fully prepared for upcoming engagements.

Meeting Coordination

  • Organize virtual and in-person meetings.
  • Prepare meeting agendas, presentations, and supporting materials.
  • Take accurate meeting minutes and distribute action items.
  • Track follow-up tasks and ensure timely completion by relevant stakeholders.
  • Coordinate audio-visual requirements for meetings and events.

Travel Coordination

  • Arrange domestic and international business travel.
  • Coordinate flights, accommodation, transportation, visa requirements, and travel logistics.
  • Prepare comprehensive travel itineraries, meeting schedules, and travel briefing documents.

Financial Administration

  • Prepare and submit executive expense reports.
  • Process corporate credit card reconciliations.
  • Ensure all expenses comply with organizational financial policies and procedures.

Events & Logistics

  • Support the planning and execution of workshops, conferences, convenings, and organizational events.
  • Coordinate logistics with vendors, venues, and participants.
  • Assist with event administration before, during, and after events.

Operational Support

  • Support the implementation and effective use of organizational systems and operational tools.
  • Assist with document management platforms, Salesforce, and other internal systems.
  • Build collaborative working relationships across departments to improve operational efficiency.
  • Perform additional administrative duties as assigned.

Candidate Profile

The ideal candidate is highly organized, adaptable, collaborative, and passionate about supporting impactful work within a global organization. You enjoy managing multiple priorities, working across cultures and time zones, and ensuring that executive operations run seamlessly.

Required Qualifications & Experience

  • 2–3 years of experience in an Administrative Assistant, Executive Assistant, or similar administrative support role.
  • Previous experience supporting senior executives is highly desirable.
  • Experience working within an international organization, NGO, philanthropic institution, or nonprofit organization is an advantage.
  • Excellent proficiency in Google Workspace, Microsoft Office Suite, and Zoom.
  • Excellent written and verbal communication skills in English.
  • Fluency in Spanish and/or French will be considered an added advantage.
  • Demonstrated experience managing complex calendars across multiple international time zones.
  • Strong organizational, planning, and multitasking abilities.
  • Exceptional attention to detail and accuracy.
  • Ability to prioritize competing demands while maintaining high-quality work.
  • Strong interpersonal skills with the ability to build effective relationships across multicultural teams.
  • Comfortable working independently while knowing when to escalate issues appropriately.
  • Ability to work under pressure and consistently meet deadlines.
  • Flexible to occasionally attend meetings outside regular business hours due to the organization’s global operations.
  • A genuine passion for climate action and environmental sustainability.

  • Full-time (40 hours per week).

  • Approximately 10% international travel may be required.
