ABOUT THE ROLE
The Front Desk Executive is responsible for greeting visitors and making them feel welcome and providing administrative and clerical assistance. S/He reports to the HR and Administration Manager.
FUNCTIONAL DUTIES AND RESPONSIBILITIES
1. Greet and receive visitors and phone calls
- Answer all incoming calls and handle caller’s inquiries whenever possible
- Re-direct calls as appropriate and take adequate messages when required
- Greet, assist and/or direct all visitors
- Ensure all telephone lines are working
2. Provide administrative support
- Mail management and tracking; Sign for and distribute /FedEx/DHL/EMS and similarly delivered packages
- Manage dispatch of goods and materials to customers and work sites
- Assist in providing lunch for staff and trainees
- Keep employee logging system and Ex-gratia / allowances book
3. Assist with debt collection and Invoice tracking
- Record and dispatch outgoing invoices
- Receive and record all incoming invoices
- Make follow –ups on due invoices
- Receive and process all incoming cheques
- Dispatch outgoing cheques
- Maintain invoice tracking and debt collection tool
4. Keeping the reception in impeccable condition always
- Ensure cleaning is done well daily
- Ensure that water is always available to all visitors
- Keep and maintain seats for visitors
- Keep a warm smile and personality for visitors
5. Schedule and Coordinate delivery of goods to clients and project sites
OHSE RESPONSIBILITIES
- Knowledge of and adherence to all TAGG’s OHS&E procedures
- Follow all safe work procedures, rules, and instructions
- Risk Assessment
- Hazard identification and reporting
- Knowledge on the safe use of all tools and equipment as applicable
WHAT WE ARE LOOKING FOR
- Diploma or Bachelor’s degree in Business Administration, Office Management, Human Resource Management, or a related field.
- Work experience as a Front Desk Executive is an advantage
- Knowledge of office administrative procedures and customer service
- Ability to maintain a high level of confidentiality
- Excellent interpersonal skills & warm personality
- Excellent communication skills (written & verbal)
- Computer skills including the ability to operate spreadsheet and word- processing programs
- Possess cultural awareness and sensitivity
- Demonstrate sound work ethics.
