Job Description
A reputable and growing organization is seeking a highly organized, honest, and detail-oriented Stores Receiving Officer to join its operations team.
The successful candidate will be responsible for receiving, inspecting, verifying, recording, and properly storing incoming goods and materials. The role requires someone with a sharp eye for detail who can ensure that all deliveries match approved orders and documentation, while maintaining accurate inventory records and an orderly store environment.

Key Responsibilities
Receiving and Inspection
- Receive all incoming goods, materials, and supplies delivered to the stores.
- Verify deliveries against purchase orders, delivery notes, invoices, and other relevant documentation.
- Accurately count and inspect all received items to confirm quantity, quality, specifications, and condition.
- Identify and report shortages, excess quantities, damaged goods, incorrect deliveries, and other discrepancies.
- Ensure that no goods are accepted without proper verification and documentation.
Inventory and Records Management
- Update stock records promptly and accurately after every receipt or issue.
- Maintain accurate inventory records and ensure that all stock movements are properly documented.
- Reconcile physical stock against inventory records and report discrepancies promptly.
- Support regular stock counts, inventory audits, and reconciliation exercises.
- Ensure that all items received are properly labelled, recorded, and traceable.
Stores Organization and Stock Control
- Arrange and store goods in an orderly, safe, and accessible manner.
- Maintain proper stock rotation using the FIFO (First-In, First-Out) principle where applicable.
- Ensure the store remains clean, organized, and compliant with established safety and storage procedures.
- Monitor stock conditions and promptly report expired, damaged, obsolete, or slow-moving items.
Documentation and Compliance
- Review delivery documentation and identify inconsistencies or unusual discrepancies.
- Ensure that invoices, delivery notes, purchase orders, and receiving records are properly matched and maintained.
- Support the prevention of inventory losses, unauthorized stock movements, and inaccurate records.
- Maintain confidentiality and uphold high standards of honesty and integrity in all stores activities.
Requirements
The ideal candidate should possess:
- At least 2 years of relevant experience in stores, warehouse operations, inventory control, or receiving.
- Previous experience in a Stores Receiving Officer, Storekeeper, Warehouse Assistant, Inventory Officer, or similar role is preferred.
- Good working knowledge of Microsoft Excel and inventory management systems.
- Strong numerical and record-keeping abilities.
- Excellent attention to detail and accuracy.
- Ability to physically handle and move goods when required.
- Strong organizational and time-management skills.
- Ability to identify discrepancies and investigate issues effectively.
- High level of honesty, integrity, and accountability.
- Ability to work independently and as part of a team.
