About the Role

We are seeking a highly organized, proactive, and customer-focused Secretary / Administrative Assistant to join our growing team. The successful candidate will provide comprehensive administrative and operational support to ensure the efficient day-to-day running of the office while supporting the Sales and Property Management teams.

This role is ideal for a professional who possesses excellent communication skills, strong organizational abilities, and the capacity to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Office Administration

  • Manage the front desk and welcome clients, visitors, and business partners in a professional and courteous manner.
  • Handle incoming telephone calls, emails, and general enquiries promptly and professionally.
  • Coordinate office schedules, appointments, meetings, and property viewing arrangements.
  • Prepare, type, edit, and distribute correspondence, reports, presentations, and other business documents.
  • Maintain accurate filing systems, both physical and electronic, ensuring easy retrieval of documents.
  • Ensure office records and confidential information are properly maintained and securely stored.

Client & Property Administration

  • Maintain accurate records of clients, tenants, landlords, and properties.
  • Assist in preparing tenancy agreements, lease documents, contracts, and other property-related documentation.
  • Follow up with clients regarding appointments, documentation, payments, and other administrative matters.
  • Support the Sales and Property Management teams with administrative coordination throughout client engagements.
  • Respond professionally to client enquiries and escalate issues where necessary.

Administrative & Operational Support

  • Coordinate office supplies, stationery, and inventory to ensure uninterrupted office operations.
  • Assist management with day-to-day administrative and operational activities.
  • Organize meetings, prepare meeting materials, and take minutes where required.
  • Maintain office equipment and coordinate maintenance when necessary.
  • Assist with data entry, record keeping, and document management.
  • Support management in preparing reports and presentations for internal and external stakeholders.
  • Perform any additional administrative duties assigned by management.

Qualifications & Experience

The ideal candidate should possess:

  • HND or Bachelor’s Degree in Business Administration, Secretarial Studies, Communication Studies, or a related discipline.
  • Minimum of 2 years’ experience in an administrative, secretarial, or office support role.
  • Previous experience within a real estate company will be considered an added advantage.
  • Proven ability to work independently while managing multiple responsibilities efficiently.
