About the Role
GLICO Health is seeking an experienced, highly organized, and proactive Executive Assistant to provide strategic, administrative, and executive-level support to the Chief Executive Officer (CEO). This role serves as the primary point of contact for internal and external stakeholders on matters relating to the Executive Office and plays a critical role in ensuring the smooth coordination of executive operations.
The successful candidate will be responsible for managing the CEO’s schedule, coordinating executive meetings, supporting Board activities, preparing high-level correspondence, overseeing confidential documentation, and facilitating effective communication across the organization. The ideal candidate will possess exceptional organizational abilities, outstanding communication skills, sound judgment, and the highest standards of professionalism and confidentiality.
Key Responsibilities
Executive Office Management
- Manage the CEO’s calendar, appointments, travel arrangements, accommodation, logistics, and expense reports.
- Prioritize appointments and ensure efficient time management for the Executive Office.
- Coordinate day-to-day administrative operations within the Executive Office.
- Maintain seamless executive office operations while ensuring confidentiality at all times.
Stakeholder & Executive Support
- Serve as the primary liaison between the CEO and internal departments, Board members, regulators, corporate partners, clients, and external stakeholders.
- Handle executive inquiries professionally, diplomatically, and confidentially.
- Build and maintain strong working relationships with key stakeholders.
Executive Communication
- Draft, edit, review, and proofread executive correspondence, speeches, presentations, reports, memoranda, and official communications.
- Prepare executive briefing notes and background documents for meetings, conferences, interviews, and public engagements.
- Coordinate executive communications with the Brand, Marketing, and Communications Department.
Board & Committee Administration
- Coordinate Board of Directors and Board Committee meetings.
- Prepare meeting agendas, Board packs, presentations, and supporting documentation.
- Record accurate minutes and monitor implementation of Board resolutions.
- Ensure timely circulation of Board materials and meeting outcomes.
Strategic Coordination
- Manage and monitor action items arising from executive meetings.
- Track strategic initiatives and ensure timely follow-up on assigned deliverables.
- Support cross-functional projects and executive initiatives that drive organizational objectives.
Research & Reporting
- Conduct research and analyze data to support executive decision-making.
- Compile reports, presentations, and executive dashboards.
- Review operational reports and highlight critical issues requiring executive attention.
Records & Document Management
- Maintain secure electronic and physical filing systems.
- Ensure proper management of confidential executive records, legal documents, and corporate files.
- Maintain document integrity and compliance with organizational policies.
Office Administration
- Screen and prioritize incoming phone calls, emails, correspondence, and visitors.
- Coordinate meetings, conferences, and executive events.
- Perform additional administrative and executive support duties assigned by the CEO.
Key Performance Indicators (KPIs)
Success in this role will be measured by:
- Timely and accurate management of the CEO’s calendar, travel, and logistics.
- Speed, quality, and confidentiality in preparing executive correspondence and Board documentation.
- High levels of organizational efficiency within the Executive Office.
- Stakeholder satisfaction through professional communication and service delivery.
- Effective tracking and timely completion of executive action items.
- Successful coordination of executive meetings, Board engagements, and corporate events.
Qualifications
- Bachelor’s Degree in Business Administration, Public Relations, Communications, Social Sciences, or a related discipline.
- A Master’s Degree is an added advantage.
- Professional certification in Executive Assistance, Corporate Governance, or related fields (e.g., CIAMC, Chartered Governance Institute (CGI), or equivalent) is highly desirable.
Experience
- Minimum of three (3) years’ experience as an Executive Assistant, Board Secretary, or in a senior executive support role.
- Experience supporting C-Suite executives within insurance, healthcare, financial services, or corporate organizations.
- Demonstrated experience interacting with Board members, executive leadership, regulators, and senior stakeholders.
Technical Skills
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong knowledge of Microsoft Teams, Zoom, and other collaboration platforms.
- Excellent business writing, editing, and minute-taking skills.
- Understanding of corporate governance practices, Board procedures, and executive administration.
- Experience using electronic filing, document management, and records management systems.
