Position Overview
We are seeking a highly organized, detail-oriented, and proactive Record Centre Assistant to support the effective management of organizational records, document control systems, and records centre operations.
The successful candidate will play a key role in ensuring the integrity, accessibility, security, and compliance of both electronic and physical records while supporting document control activities across business operations and projects. This position requires excellent organizational skills, strong attention to detail, and a solid understanding of records management principles and electronic document management systems.
Key Responsibilities
1. Systems, Processes, Data & Information Management
The successful candidate will:
- Update and maintain the organization’s electronic records database.
- File, retrieve, and manage records within the Electronic Content Management (ECM) system.
- Conduct periodic audits to verify the accuracy, completeness, and integrity of electronic records.
- Monitor document quality and ensure records are properly classified and indexed.
- Support the continuous improvement of records management systems and processes.
2. Records Management & Records Centre Operations
Responsibilities include:
- Support the implementation of records retention and disposal schedules in accordance with organizational policies.
- Assist in maintaining effective manual and electronic records management systems.
- Coordinate records accessioning processes, including:
- Listing and cataloguing records.
- Tagging and labeling documents.
- Assigning document reference numbers.
- Updating records databases.
- Support the organization, maintenance, and housekeeping of records centres.
- Coordinate initiatives to optimize storage space by replacing archive files with backing boards and replacing deteriorated acidic storage boxes with approved non-acidic archival boxes.
- Ensure records are stored securely and remain easily accessible when required.
3. Business Partnering & Records Support
The successful candidate will:
- Monitor compliance with the organization’s records management policies, procedures, and standards.
- Provide guidance and basic training to staff on records management best practices.
- Support users with document retrieval requests and inactive file searches.
- Respond promptly to records management enquiries and provide troubleshooting assistance.
- Promote awareness of proper records management practices across the organization.
4. Document Control
The role includes responsibility for:
- Supporting the identification and assessment of risks associated with document control and records management processes.
- Assisting in implementing risk mitigation measures and assurance activities.
- Monitoring compliance with document control procedures.
- Providing document control support for organizational projects.
- Ensuring project documentation is properly managed, controlled, and maintained throughout the document lifecycle.
5. Reporting & Performance Management
The successful candidate will:
- Prepare periodic reports on document control activities and records management performance.
- Monitor key performance indicators relating to records management.
- Support management with accurate records and document control information for informed decision-making.
- Recommend improvements that enhance records management efficiency and compliance.
Qualifications
Applicants must possess:
- A Bachelor’s Degree in:
- Information Studies
- Computer Science
- Information Management
- Library and Information Science
- Records Management
- Or a related discipline.
Experience
The ideal candidate should have:
- A minimum of two (2) years’ relevant professional experience in records management, records centre administration, document control, or a related field.
- Experience managing both physical and electronic records.
- Experience with records centre digitization will be a significant advantage.
Required Skills & Competencies

- Strong knowledge of records management principles and best practices.
- Experience using Electronic Content Management (ECM) or document management systems.
- Excellent organizational and administrative skills.
- Strong attention to detail and accuracy.

- Ability to prioritize tasks and meet deadlines.
- High level of integrity and confidentiality.
- Ability to work independently and collaboratively within a team.
- Strong computer literacy, including Microsoft Office Suite.
