We are seeking an experienced Executive Secretary to provide high-level administrative and secretarial support to senior management. The successful candidate will be responsible for coordinating executive activities, managing correspondence, organizing meetings, and ensuring efficient office operations while maintaining the highest level of professionalism and confidentiality.

Key Responsibilities

Executive & Administrative Support

  • Provide comprehensive administrative and secretarial support to senior management.
  • Manage executives’ calendars, appointments, meetings, and travel arrangements.
  • Screen phone calls, emails, and correspondence, ensuring timely responses and follow-ups.
  • Prepare reports, presentations, letters, memos, and other official documents.

Meeting & Office Coordination

  • Schedule and coordinate meetings, conferences, and appointments.
  • Prepare meeting agendas, record accurate minutes, and follow up on action items.
  • Coordinate logistics for internal and external meetings.

Records & Document Management

  • Maintain confidential files, records, and executive documents.
  • Develop and maintain organized electronic and physical filing systems.
  • Ensure proper documentation and record retention practices.

Communication & Stakeholder Management

  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Handle enquiries professionally and maintain positive working relationships.
  • Coordinate communication with clients, suppliers, and business partners.

Office Administration

  • Support the smooth day-to-day running of the executive office.
  • Monitor office supplies and coordinate procurement when necessary.
  • Perform other administrative duties as assigned by management.

Qualifications

Applicants must possess:

  • A Diploma or Bachelor’s Degree in:
    • Executive Secretarial Studies
    • Business Administration
    • Office Management
    • Or an equivalent qualification.

Professional certifications in Executive Administration or Office Management will be an added advantage.

Experience

  • A minimum of two (2) years’ relevant administrative or executive secretarial experience.
  • Previous experience within the Real Estate industry will be considered an added advantage.

Required Skills & Competencies

Technical Skills

  • Advanced proficiency in Microsoft Office Suite, including:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft Outlook
    • Microsoft PowerPoint
  • Excellent document preparation and report-writing skills.
  • Strong records and document management capabilities.
  • Experience using office management systems and digital filing platforms is desirable.
