About the Role

We are seeking an exceptional Senior Executive Assistant to serve as the trusted operational partner to the Chief Executive Officer (CEO).

This is a high-impact role requiring an experienced, highly organized, proactive, and discreet professional who will:

  • Manage the CEO’s daily priorities, executive calendar, and strategic commitments.
  • Maximize the CEO’s effectiveness through exceptional planning, coordination, and execution.
  • Coordinate executive operations, strategic initiatives, and special projects.
  • Serve as the primary liaison between the CEO and senior internal and external stakeholders.
  • Anticipate challenges, identify solutions, and resolve issues proactively.
  • Handle highly confidential corporate, commercial, financial, strategic, and personnel information with absolute discretion and integrity.
  • Represent the CEO professionally when interacting with government officials, board members, investors, corporate executives, international partners, regulators, diplomatic representatives, and VIP guests.
  • Thrive in a fast-paced environment while enabling the CEO to focus on strategic priorities.

Key Responsibilities

Executive Support

  • Manage and optimize the CEO’s complex calendar and daily priorities.
  • Coordinate meetings, appointments, and executive engagements.
  • Arrange domestic and international travel, including:
  • Flights
  • Accommodation
  • Ground transportation
  • Visas
  • Detailed travel itineraries
  • Prepare executive briefing materials and meeting packs.
  • Screen, prioritize, and respond appropriately to correspondence, requests, and invitations.
  • Protect the CEO’s time by effectively managing competing priorities.
  • Monitor deadlines, commitments, and follow-up actions.
  • Exercise sound judgment in scheduling and executive decision support.

Executive Operations

  • Coordinate strategic initiatives and executive projects.
  • Track CEO decisions and action items across departments.
  • Follow up with department heads to ensure timely execution.
  • Prepare executive dashboards, reports, and progress updates.
  • Recommend improvements to executive workflows and business processes.
  • Support the planning and execution of strategic business initiatives.

Stakeholder Management

Coordinate and manage engagements with:

  • Government officials
  • Regulators

  • Diplomatic representatives

Additional responsibilities include:

  • Serving as the CEO’s primary administrative liaison.
  • Building and maintaining trusted relationships with key stakeholders.

  • Ensuring a first-class experience for executive visitors and guests.

Communication & Documentation

  • Draft, edit, and proofread:

  • Coordinate Executive Leadership Team meetings.
  • Organize Board meetings and strategy sessions.
  • Prepare Board papers, executive briefing packs, and presentation materials.
  • Coordinate conferences, workshops, executive retreats, and corporate events.
  • Manage logistics for international meetings and executive visits.

Qualifications

  • Bachelor’s degree in:

  • Or a related discipline
  • A postgraduate qualification or professional certification in Executive Administration, Project Management, Business Administration, or a related field will be an advantage.

Experience

The ideal candidate will have:

  • Minimum of 5 years’ experience supporting a Chief Executive Officer, Managing Director, President, Country Manager, or other C-suite executive in a fast-paced corporate environment.
  • Strong experience supporting senior executives or expatriate leaders.
  • Demonstrated experience managing demanding executive calendars and competing priorities.
  • Experience coordinating executive travel, international engagements, and high-level meetings.
  • Experience preparing executive reports, presentations, and business correspondence.
  • Experience working in one or more of the following environments:

Work Schedule

  • Full-time position.
  • Standard working week with flexibility to work beyond normal business hours when required.
