Job Summary
We are seeking a highly organized, proactive, and detail-oriented Administrative Officer to provide comprehensive administrative and operational support to ensure the efficient functioning of our office. The successful candidate will be responsible for managing schedules, maintaining records, coordinating office activities, preparing reports, and supporting project implementation while maintaining high standards of professionalism and confidentiality.
The ideal candidate should possess excellent organizational, communication, and interpersonal skills, with the ability to manage multiple tasks efficiently in a fast-paced work environment.
Key Responsibilities
Scheduling and Communication
- Coordinate and manage appointments, meetings, calendars, and schedules for management and staff.
- Prepare meeting agendas, record minutes, and follow up on action items.
- Manage incoming and outgoing communications, including emails, telephone calls, and correspondence.
- Facilitate effective communication between departments, clients, and external stakeholders.
Administrative and Office Management
- Oversee the day-to-day administrative operations of the office.
- Ensure the office environment remains organized, professional, and conducive to productivity.
- Coordinate office logistics, supplies, and equipment to support operational efficiency.
- Maintain confidentiality and integrity in handling sensitive organizational information.
Records and File Management
- Establish and maintain effective filing and record management systems, both electronic and physical.
- Organize, update, and archive documents and records as required.
- Ensure proper documentation and easy retrieval of information.
Data Entry and Reporting
- Accurately enter, maintain, and update organizational data and records.
- Prepare periodic reports, summaries, presentations, and administrative documentation.
- Support management with data analysis and reporting requirements.
- Ensure accuracy, completeness, and confidentiality of organizational data.
Project and Operational Support
- Provide administrative support for organizational projects and initiatives.
- Coordinate logistics for meetings, workshops, training sessions, and corporate events.
- Assist with project tracking, reporting, and documentation.
- Support management in executing operational and strategic activities.
General Administrative Duties
- Manage office correspondence and documentation.
- Coordinate travel arrangements, accommodations, and logistics where required.
- Monitor office inventory and facilitate procurement of office supplies.
- Perform other administrative duties as assigned by management.
Qualifications and Experience
Educational Qualification
- Minimum of a Higher National Diploma (HND) or Bachelor’s Degree in:
- Business Administration
- Public Administration
- Management
- Secretarial Studies
- Or a related field.
Experience
- Minimum of 2–3 years’ relevant working experience in administration, office management, executive support, or a related role.
