About the Role

We are seeking a highly organized, proactive, and results-oriented Operations Coordinator to join our growing transportation and logistics team. The successful candidate will play a critical role in coordinating daily haulage operations, ensuring the efficient deployment of trucks and drivers, and maintaining seamless transportation activities that support business objectives and customer satisfaction.

This position requires a strong coordinator who can effectively manage fleet operations, communicate with multiple stakeholders, monitor transportation activities, and ensure compliance with operational and safety standards.

Job Purpose

The Operations Coordinator is responsible for planning, coordinating, and overseeing daily transportation and haulage operations to ensure the efficient movement of vehicles, drivers, and cargo. The role focuses on maximizing operational efficiency, maintaining fleet readiness, ensuring timely deliveries, and supporting high levels of customer service.

Key Responsibilities

Operations Coordination

  • Coordinate and schedule daily transportation and haulage activities.
  • Assign trucks and drivers based on operational requirements and delivery schedules.
  • Monitor vehicle movements to ensure timely pickups and deliveries.
  • Track operational performance and ensure adherence to service delivery timelines.
  • Support the optimization of routes and resource utilization to improve efficiency.

Fleet Management

  • Maintain accurate fleet records, including vehicle registration, insurance, maintenance schedules, fuel consumption, and operational logs.
  • Coordinate preventive and corrective maintenance activities to ensure fleet availability and roadworthiness.
  • Monitor vehicle utilization and identify opportunities to improve fleet efficiency.
  • Ensure all vehicles meet regulatory and company operational standards.

Driver Coordination & Compliance

  • Manage driver schedules, attendance, and daily assignments.
  • Monitor driver performance and adherence to company policies and safety procedures.
  • Ensure drivers possess valid licenses and required operational documentation.
  • Communicate operational updates and instructions to drivers effectively.
  • Promote compliance with transport regulations and road safety requirements.

Stakeholder Management

  • Serve as a key liaison between drivers, customers, warehouse teams, service providers, and management.
  • Communicate shipment status updates and operational information to relevant stakeholders.
  • Address operational issues and coordinate timely resolutions.
  • Support customer service initiatives by ensuring prompt response to transportation-related concerns.

Documentation & Reporting

  • Prepare and maintain transportation records, delivery documentation, trip reports, and operational logs.
  • Generate periodic reports on fleet performance, fuel usage, maintenance activities, and operational efficiency.
  • Ensure all operational documentation is accurate, complete, and properly filed.
  • Maintain records in compliance with company policies and regulatory requirements.

Safety & Regulatory Compliance

  • Ensure compliance with transportation laws, regulations, and company procedures.
  • Support the implementation of safety initiatives and best practices.
  • Monitor operational risks and recommend corrective actions where necessary.
  • Assist with audits, inspections, and compliance reviews.

Qualifications & Requirements

  • Bachelor’s Degree in Logistics, Supply Chain Management, Transportation Management, Business Administration, Operations Management, or a related field.
  • Minimum of 2 years’ experience in transportation, logistics, fleet management, operations coordination, or a similar role.
  • Experience within a haulage, transportation, logistics, or supply chain environment is highly desirable.
  • Familiarity with fleet management processes and transportation operations.
