Job Purpose
The Transport Officer is responsible for the effective management, maintenance, and operation of the
company’s transport fleet, including salon cars and trucks/trailers. The role ensures safe, efficient, and
cost-effective transportation to support distribution operations, while maintaining high vehicle
availability, minimizing downtime, and leading and developing a competent transport team.
Key Responsibilities
Fleet Management
- Manage and oversee the company’s entire vehicle fleet, including:
o Managers’ salon cars
o Trucks and trailers used for product deliveries - Ensure all vehicles are roadworthy, fully functional, insured, licensed, and compliant with legal
and safety requirements. - Plan and monitor regular servicing, preventive maintenance, and repairs.
- Ensure high fleet availability by minimizing vehicle downtime through effective preventive
maintenance, timely repairs, and proper planning. - Monitor vehicle breakdown trends and implement corrective actions to improve reliability and
operational readiness. - Maintain accurate records for vehicle servicing, inspections, fuel usage, mileage, and repairs.
Transport & Delivery Operations - Allocate vehicles and drivers based on delivery requests from the Supply Chain Manager and
other authorized departments. - Plan and optimize delivery schedules to ensure timely and efficient distribution of goods.
- Coordinate vehicle availability to support production and customer delivery timelines.
- Ensure maximum availability of trucks and cars to support uninterrupted distribution and
management transportation requirements. - Monitor vehicle utilization and recommend improvements to reduce downtime and operating
costs. - Work closely with department heads to understand transport needs and support overall
operational efficiency.
Technical Maintenance & Vehicle Expertise - Possess strong technical knowledge of light vehicles, trucks, and trailers, including engines,
transmissions, braking systems, suspension, electrical systems, and hydraulics. - Diagnose common mechanical and electrical faults and coordinate effective repairs to minimize
vehicle downtime. - Supervise and guide mechanics and welders in carrying out repairs, fabrications, and
modifications to vehicles and trailers. - Ensure preventive maintenance schedules are properly designed, implemented, and adhered to
for all vehicles. - Verify quality of repairs and maintenance work to ensure vehicles are safe, reliable, and fit for
operation. - Liaise with external garages, spare parts suppliers, and service providers to ensure timely and
cost-effective maintenance. - Ensure availability and proper use of tools, equipment, and spare parts required for vehicle
maintenance. - Keep updated on new vehicle technologies and maintenance best practices relevant to
commercial and light vehicles.
Team Leadership & Management - Lead, supervise, and manage a transport team including: Drivers, Mechanics, Welders and
vehicle technicians - Build, train, and develop a competent, disciplined, and safety-conscious transport team.
- Prepare duty rosters, assign tasks, and monitor staff performance.
- Enforce company policies, road safety standards, and disciplinary procedures.
- Promote teamwork and effective communication within the transport team and across
departments.
Fuel & Cost Control - Manage the allocation and control of fuel coupons/cards.
- Monitor fuel consumption and investigate variances or misuse.
- Implement cost-control measures related to fuel, maintenance, and repairs.
Safety, Compliance & Reporting - Ensure compliance with traffic laws, transport regulations, and company safety policies.
- Conduct regular vehicle inspections and safety checks.
- Investigate and report accidents, incidents, or vehicle breakdowns.
- Prepare clear, accurate, and timely reports on fleet performance, vehicle maintenance, fuel
consumption, incidents, and staff activities. - Submit regular operational and compliance reports to management to support effective
decision-making. - Collaborate with the EHS team to implement transport safety procedures, risk assessments, and
corrective actions. - Participate in safety meetings and audits related to fleet and transport operations.
Leadership & Continuous Improvement
- Demonstrate strong leadership and accountability in all transport operations.
- Identify opportunities to improve efficiency, reduce costs, and enhance service delivery.
- Drive continuous improvement initiatives to reduce vehicle downtime, improve fleet reliability,
and ensure all vehicles remain operational to meet business demands. - Support management with recommendations for fleet expansion, replacement, or upgrades.
- Work collaboratively with other department heads to align transport operations with company
objectives.
Qualifications & Experience - Diploma or Degree in Transport Management, Logistics, Mechanical Engineering, or a related
field. - Minimum of 5–8 years’ experience in fleet or transport management, preferably in a
manufacturing or industrial environment. - Proven experience managing trucks, trailers, and light vehicles.
- Experience leading teams of drivers and technical staff.

Working Hours - Monday – Friday 8:00am-5:00pm
- Saturday 8:00am – 2:00pm
