Job Description

About the Role

We are seeking a highly organized and detail-oriented Procurement Assistant to support and strengthen our procurement operations. This role is critical in ensuring the efficient sourcing, purchasing, and delivery of goods and services across the organization.

The successful candidate will be proactive, analytical, and capable of managing multiple procurement activities while ensuring compliance with company policies, quality standards, and regulatory requirements.

Key Responsibilities

  • Review and analyze departmental requisitions in line with project timelines (local and international procurement)
  • Source goods and services from credible suppliers in accordance with company policies and ethical standards
  • Prepare and process purchase orders with accuracy and compliance to statutory requirements
  • Track purchase order approvals and follow up to ensure timely delivery
  • Monitor supplier performance and ensure adherence to contractual agreements
  • Maintain accurate procurement documentation and order records
  • Develop and update procurement tracking schedules
  • Resolve pricing discrepancies and supplier-related issues
  • Liaise with internal stakeholders to clarify requirements and resolve order inconsistencies
  • Manage procurement processes from initiation through to completion
  • Support the Procurement Manager in planning and prioritizing procurement activities
  • Collaborate with Finance on payments and reconciliation of procurement transactions
  • Coordinate cost-effective logistics and delivery arrangements
  • Build and maintain strong supplier relationships
  • Maintain and update the supplier database
  • Support supplier evaluations, audits, and compliance checks
  • Coordinate inspection, testing, and handover of procured items
  • Ensure adherence to the company’s Quality Management System (QMS)
  • Perform any other duties as assigned

Occupational Health, Safety & Environment (OHSE) Responsibilities

  • Comply with all Occupational Health, Safety & Environmental procedures
  • Adhere to safe work practices, policies, and instructions
  • Conduct risk assessments and identify/report hazards
  • Ensure safe use of tools and equipment at all times

Qualifications & Experience

  • Bachelor’s degree in Procurement & Supply Chain Management, Business Administration, or a related Social Science field
  • Minimum of 1–3 years’ relevant experience in procurement or supply chain operations

Knowledge, Skills & Competencies

  • Basic understanding of procurement processes, policies, and procedures
  • Strong attention to detail and high level of accuracy
  • Good communication and interpersonal skills
  • Ability to multitask and meet tight deadlines
  • Proficiency in Microsoft Office Suite (especially Excel)
  • Strong organizational and time management skills
  • Basic numerical and analytical abilities
