Job Summary

The Logistics Officer is responsible for planning, coordinating, and overseeing logistics and supply chain operations to support programme delivery. The role ensures efficiency in procurement, fleet management, asset control, and administrative services while maintaining compliance with organizational and donor requirements.

Key Responsibilities

1. Logistics & Supply Chain Management (40%)

  • Lead procurement processes in line with organizational policies and donor requirements.
  • Ensure timely sourcing and delivery of goods and services.
  • Coordinate procurement committees and manage supplier contracts.
  • Maintain accurate supplier databases and procurement records.
  • Oversee stock management, documentation, and compliance.
  • Support procurement oversight for partner-implemented projects.

2. Administration & Operational Support (30%)

  • Manage fleet operations, including transportation planning and reporting.
  • Oversee maintenance of vehicles, generators, IT equipment, and other assets.
  • Coordinate staff travel logistics, including accommodation and visas.
  • Maintain documentation for audit readiness.
  • Support office management, utilities, and facility maintenance.
  • Assist in event planning, vendor sourcing, and cost tracking.

3. Asset Management (15%)

  • Maintain and update the asset register regularly.
  • Track asset issuance and returns with proper documentation.
  • Lead periodic physical asset verification exercises.
  • Facilitate asset disposal processes in compliance with policies.

4. Safety & Security (15%)

  • Enforce safety and security protocols in line with organizational guidelines.
  • Monitor security conditions and implement preventive measures.
  • Coordinate with relevant government and NGO security networks.
  • Ensure the safety of staff and organizational assets.

Key Relationships

  • Internal: Country Director, Programme Managers, Finance Team, Senior Management, Project Teams
  • External: Vendors, contractors, consultants, government agencies, and service providers

Qualifications & Experience

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field.
  • Minimum of 7 years’ relevant experience in logistics, procurement, or supply chain operations.
  • Proven experience in fleet management, procurement compliance, and vendor coordination.
  • Proficiency in Microsoft Office and logistics/asset management systems.
  • Strong knowledge of documentation and compliance standards.
  • Fluency in English and relevant local languages.
