Employment Type: Full-Time
Salary: GHS 6,000 (Net) per month

Position Summary

The Fleet Operations Manager is a strategic leadership role responsible for overseeing all fleet-related operations, including vehicle rentals, corporate leasing, automobile sales, and internal company fleet management.

The role focuses on optimizing fleet performance, driving revenue growth, ensuring safety and regulatory compliance, controlling operational costs, and delivering exceptional customer service across multiple service lines.

Key Responsibilities

1. Strategic Fleet Management

  • Develop and implement a comprehensive fleet strategy
  • Conduct fleet needs analysis and long-term planning
  • Prepare 3–5 year fleet replacement and expansion plans
  • Optimize fleet size, utilization, and composition
  • Identify cost-reduction and sustainability initiatives

2. Operational Management

  • Oversee day-to-day fleet operations (rental, leasing, internal fleet)
  • Manage vehicle acquisition, deployment, rotation, and disposal
  • Maintain optimal fleet utilization rates (target: 85–90%)
  • Coordinate fleet requirements with internal business units
  • Manage inventory across all fleet service lines

3. Maintenance & Asset Management

  • Establish preventive maintenance programs
  • Manage service providers and repair facilities
  • Monitor vehicle condition and compliance standards
  • Track total cost of ownership per vehicle
  • Manage warranty claims and manufacturer recalls

4. Driver & Personnel Management

  • Recruit, train, and supervise fleet department staff
  • Manage Chief Driver and company drivers
  • Establish driver qualification and training standards
  • Monitor driver safety records and performance
  • Conduct performance reviews and address disciplinary matters

5. Financial Management

  • Prepare and manage annual fleet budgets
  • Forecast capital expenditure requirements
  • Develop pricing strategies for rental and leasing services
  • Monitor operational costs and analyze ROI
  • Track and report budget variances

6. Fuel Management

  • Implement fuel cost-control systems
  • Monitor fuel consumption trends and detect irregularities
  • Manage fuel card programs and fraud prevention measures
  • Negotiate fuel supply contracts
  • Track fuel efficiency metrics

7. Safety & Risk Management

  • Implement fleet-wide safety programs
  • Ensure compliance with traffic laws and operational standards
  • Investigate accidents and implement corrective actions
  • Manage insurance policies and claims
  • Conduct safety audits and monitor KPIs

8. Compliance & Regulatory Oversight

  • Ensure compliance with Driver and Vehicle Licensing Authority (DVLA) regulations
  • Maintain vehicle registrations, permits, and roadworthiness certifications
  • Oversee insurance renewals and compliance documentation
  • Maintain accurate fleet records and documentation

9. Customer Service (Rental & Leasing)

  • Ensure high-quality service delivery
  • Manage customer relationships and resolve complaints
  • Develop customer service standards
  • Monitor satisfaction metrics and implement improvements

10. Technology & Systems

  • Implement and manage fleet management software
  • Utilize GPS/telematics systems for performance optimization
  • Maintain accurate fleet databases
  • Leverage analytics for operational decision-making

11. Vendor & Supplier Management

  • Select, negotiate, and manage vendor contracts
  • Monitor vendor performance and compliance
  • Conduct periodic vendor evaluations

12. Reporting & Analysis

  • Prepare monthly performance reports
  • Present quarterly reviews to senior management
  • Track KPIs and operational metrics
  • Provide data-driven recommendations for improvement

Qualifications & Experience

Education

  • Bachelor’s degree in Logistics, Business Administration, Operations Management, or related field
  • MBA or professional certifications (e.g., PMP, Fleet Management) preferred

Experience

  • Minimum 5–7 years’ experience in fleet management
  • At least 3 years in a supervisory/managerial role
  • Experience managing rental, leasing, and corporate fleets
  • Proven track record in cost optimization and operational efficiency
  • Experience with fleet management software and telematics systems
