Role Overview
The Assistant Fleet Coordinator will support the day-to-day fleet management operations within a client’s office. The role involves vehicle dispatch coordination, monitoring vehicle utilization, supervising drivers, ensuring regulatory compliance, and delivering excellent customer service to client users.
Key Responsibilities
Fleet Operations Management
- Receive, process, assign, and dispatch service requests by matching them with available drivers and vehicles
- Track and monitor vehicles and drivers to ensure timely and accurate service delivery
- Ensure all trips are properly logged with accurate opening and closing mileages
- Maintain and update vehicle logbooks and daily operational records
- Optimize fleet resource utilization for operational efficiency
- Ensure compliance with contractual obligations, regulatory requirements, internal policies, and safety standards
- Oversee preventive maintenance schedules and follow up on repairs to ensure roadworthiness
- Conduct vehicle inspections prior to delivery to clients, ensuring required documentation and accessories are in place
- Ensure fleet vehicles are clean, secure, and properly maintained
- Prepare operational reports as required
- Provide guidance and training support to drivers where necessary
Driver & Client User Management
- Supervise drivers and ensure compliance with the Driver’s Code of Conduct, Health, Safety & Environmental (HSE) standards, and Road Traffic Regulations
- Maintain professional relationships with client users
- Address operational issues promptly and professionally
Qualifications & Experience
- Minimum of HND/Diploma in a relevant discipline
- 0–4 years of hands-on experience in fleet management or a related field
- Familiarity with word processing and spreadsheet applications
