Job Description
KEY JOB ACCOUNTABILITIES & RESPONSIBILITIES:
Manage Accounts Payable to ensure data integrity and timely payments.
• Review daily, all invoices logged in MAXIMO for all currencies and timely approve for export into SUN for payment processing.
• Prepare monthly payroll voucher and bank advice for payment processing.
• Prepare schedules for paying Pension, Savings, Co-operative deductions etc. for all States at the end of each Month.
• Reconcile all AP, Tax and Payroll deduction accounts at the end of each Month.
• Reconcile major AP accounts (more than 150KUSD paid in the last 12 months) with third parties 2 times a year (end of March and Sep).
• Reconcile employee loan account balances to the payroll at the end of each month. Prepare schedules for remitting other payroll deductions.
• Prepare Accounts Payable to support the annual accounts.
Asset (Data) Management
• Apply accounting policies to maintain company fixed assets, register with proper codification, and identification of all company assets.
• Perform periodic and year-end physical identification, count and verification of company assets and reconcile with ledgers.
• Perform system (and manual) depreciation monthly and annually.
• Recommend disposals of assets based on performance of due diligence and carry out updates to records as required.
• Maintain Capex register to track and manage company expenditures for fixed assets in comparison to the capital budget.
System Administration
• Periodic system audit to ensure data integrity.
• Create and ensure rights/permission to system users as required by business operation.
• Assist in generating various finance report from SUN, Vision etc.
• Act as Alternate Systems Administrator for SUN Financials, Vision Q&As, MAXIMO (Procurement, Financials, and Inventory) and Axon.
Cost Allocation and Reconciliation
• Carry out monthly cash counts, periodic spot checks and issue timely reconciliation reports at the end of each month.
• Carry out monthly bank reconciliations for all WAPCo bank Accounts.
• Carry out monthly employees account reconciliation for HQ.
• Allocate monthly prepayment to cost accounts.
• Assist in monthly ledger reconciliation committee and systems assurance meeting before the close of each reporting month.
• Coordinate monthly cash count across stations and perform cash count for HQ. Arrange periodic spot checks of petty cash for all stations.
• Prepare monthly and year end cash valuations and post adjustments in Sun Accounting System.Coordinate and Prepare Financial Reports
• Prepare tax returns for all states – WHT, VAT, PAYE, Corporation Tax, and other minor taxes. Implement a one-year schedule and ensure compliance with deadline.
• Prepare Tax Schedules to support the annual accounts.
Inventory Accounting
• Prepare monthly inventory reconciliations between Sun Accounting System and Inventory Management System.
• Assist in periodic and year end count, valuation of inventory in all Warehouses and Storerooms and post adjustments into Accounting Systems.
• Assist in preparation of year end Net Realizable Value valuations, post adjustments in Accounting System and Inventory Management Systems.
Other Duties
• Conduct annual finance controls testing using approved templates and supporting documentation, in compliance with WAPCo’s Assurance Testing Procedure
Co-ordinate monthly accrual journals and posting across WAGP state.
• Any other duties that may be assigned.
Working Experience and Educational/Academic Background
• Degree or equivalent in Finance, Economics, or Accounting with a minimum of 3 years relevant experience.
• A Chartered/Certified professional accounting qualification or MBA in Finance and Accounting (e.g., CIMA, ACCA, ICA, ACA) would be an added advantage.
• Knowledge of accounting, Controls, Fixed Assets Management, Taxation in Ghana such as Value Added Tax and Withholding Tax, Payroll processing.
