Job Description
Purpose
To manage general office administration and human resources functions under the direction of the Chief Visionary Officer (CVO). The role includes providing reception, secretarial, and personal assistance services, as well as supervising the office cleaner.
Key Responsibilities
General Management
- Maintain an effective stocktaking system for office provisions
- Manage and monitor office equipment, facilities, maintenance contracts, and leases
- Ensure all insurance requirements for vehicles, staff, and property are valid and up to date
- Supervise the office cleaner on a daily basis
- Provide back-up support to the Accounts Manager when required
Human Resources
- Administer staff leave records
- Coordinate staff orientation and training programs
- Ensure all licenses, business permits, and work permits are obtained and renewed in compliance with legal requirements
- Handle recruitment administration, including correspondence, preparation of recruitment documentation, and interview arrangements
Secretarial & Administration
- Manage the reception desk, welcome visitors, and handle incoming calls and emails
- Receive, record, and distribute incoming and outgoing mail
- Arrange travel and accommodation for project staff
- Maintain accurate manual and electronic filing systems
- Assist in the preparation and binding of proposals and bidding documents
Personal Assistance
- Type and issue correspondence and documents for the CVO using MS Word, Excel, and PowerPoint
- Manage the CVO’s diary, schedule appointments, and handle calls and emails
- Maintain personal and confidential files
Marketing
- Maintain and update a client database using local knowledge, networks, and team inputs
- Follow up on enquiries and provide additional information or application forms
- Identify opportunities to attract and generate new business
- Respond to general correspondence
Accounting & Finance
- Support accounting and finance activities as assigned
Departmental & External Relations
- Maintain advisory and consultative relationships with internal departments
- Build and sustain professional relationships with external clients and suppliers
Asset Management
- Ensure the protection, conservation, and efficient use of books, computers, vehicles, projectors, and other assigned equipment
Required Skills & Experience
Educational Qualification
- Minimum of a First Degree
Experience
- At least 2 years’ experience in Office Management or a related role
