As part of our continued growth, we are seeking a highly organized, proactive, and results-oriented professional to join our team as a Project Officer.
About the Role
The Project Officer will provide project coordination, administrative, monitoring, and operational support to ensure projects are effectively planned, implemented, monitored, and delivered in line with approved objectives, timelines, budgets, quality standards, and organizational expectations.
The successful candidate will work closely with project managers, technical teams, contractors, consultants, suppliers, clients, and other stakeholders to facilitate smooth project execution and ensure that project activities remain on track.
This role requires someone who is highly organized, detail-oriented, proactive, and capable of coordinating multiple activities in a fast-paced built-environment environment.
Key Responsibilities
Project Planning & Coordination
- Support the planning, scheduling, and coordination of projects from initiation through completion.
- Assist in developing project work plans, schedules, activity trackers, and implementation timelines.
- Coordinate project activities across internal teams, contractors, consultants, suppliers, and other stakeholders.
- Monitor project milestones and follow up on outstanding activities to ensure timely delivery.
- Assist project teams in identifying potential delays, constraints, and implementation challenges.
Project Monitoring & Reporting
- Track project progress against approved plans, schedules, budgets, and deliverables.
- Prepare regular project status reports, dashboards, and management updates.
- Maintain accurate project documentation, records, correspondence, and progress reports.
- Monitor action points arising from project meetings and ensure responsible persons follow through.
- Escalate significant project risks, delays, issues, or deviations to the appropriate project lead.
Stakeholder Coordination
- Serve as a key coordination point between project teams and relevant stakeholders.
- Facilitate effective communication between clients, consultants, contractors, suppliers, and internal departments.
- Support the organization of project meetings, site meetings, presentations, and stakeholder engagements.
- Prepare meeting agendas, minutes, action trackers, and follow-up reports.
Project Administration
- Maintain organized project files, contracts, schedules, drawings, reports, correspondence, and other relevant documentation.
- Support procurement and project-related administrative processes.
- Assist in tracking project-related expenditure and documentation in collaboration with the Finance and Procurement teams.
- Ensure project records are maintained accurately and are readily accessible when required.
Risk, Quality & Compliance
- Support the identification, documentation, and monitoring of project risks.
- Assist project teams in monitoring compliance with approved project requirements, policies, procedures, and applicable standards.
- Support the tracking of quality issues and corrective actions.
- Maintain project risk, issue, and action registers.
- Promote accountability and adherence to project governance requirements.
General Project Support
- Conduct research and gather information required for project planning and decision-making.
- Assist with presentations, project proposals, reports, and other management documents.
- Support site visits and project monitoring activities when required.
- Contribute to process improvement initiatives aimed at enhancing project delivery and operational efficiency.
- Perform other project-related duties assigned by management.
Qualifications & Experience
The ideal candidate should have:
- A Bachelor’s degree in Project Management, Construction Management, Civil Engineering, Quantity Surveying, Real Estate, Business Administration, or a related discipline.
- Three (3) years relevant professional experience in project coordination, project administration, construction, real estate, facilities management, or a related field.
- Practical understanding of project planning, implementation, monitoring, and reporting.
- Experience coordinating multiple stakeholders and project activities.
- Strong administrative and organizational capabilities.
- Proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook.
- Familiarity with project management tools and reporting systems will be an advantage.
